Job description

We are looking for an experienced and highly organized professional to support a hybrid work schedule. The position requires onsite work in Novi Tuesday through Thursday, with a scheduled remote work arrangement on Mondays and Fridays. This will be 8AM EST - 5PM EST.

The ideal candidate will have strong administrative experience, advanced proficiency in Microsoft Outlook, including calendar management and scheduling, and the ability to effectively navigate and manage multiple administrative systems and platforms. Strong organizational, communication, and multitasking skills are essential.

Support the day-to-day transportation operations, including clerical work, order entry, planning appointments, track and trace, document scanning, and assisting Logistics Specialists in support of the overall import/export process.

KEY DUTIES AND RESPONSIBILITIES

Support basic customer needs by answering phones, managing email volume, and becoming familiar with customer accounts

Utilize transportation software to track and trace vessel and terminal schedules and generate reports for visibility

Collaborate with Logistics Specialists and warehouse staff to achieve daily goals

Support Logistics Specialists with planning appointments and coordinating orders

Assist with billing every 1-3 days and ensure rates are accurate

Research for both customer and driver documentation

File and scan driver documentation

Perform basic audits to review vendor invoices to minimize discrepancies

MINIMUM REQUIREMENTS (KNOWLEDGE, SKILLS, ABILITIES)

High School Diploma or Equivalent

No prior experience is required; previous experience in a shipping or transportation coordination environment experience or relevant certification is advantageous but not necessary

Basic computer skills including proficiency in Microsoft Office Suite

Excellent verbal and written communication skills

Excellent organizational skills and attention to detail
