Position Summary:


The Parts and Materials Coordinator is responsible for supporting maintenance operations by managing the flow of aircraft parts, materials, and supplies. This role ensures timely procurement, accurate inventory tracking, proper documentation, and compliance with FAA and company requirements. The coordinator works closely with maintenance personnel and vendors to ensure parts availability and operational efficiency.

Requirements


Essential Responsibilities & Duties:

  • Coordinates the ordering, receiving, and distribution of aircraft parts and materials to support maintenance operations.
  • Verifies parts upon receipt, ensuring accuracy, condition, and proper certification/documentation (e.g., FAA Form 8130-3 or equivalent).
  • Maintains accurate inventory records, including tracking, labeling, and storage of parts and materials.
  • Ensures proper handling, storage, and preservation of parts in accordance with manufacturer and regulatory requirements.
  • Supports inventory control processes, including cycle counts and audits.
  • Coordinates with maintenance technicians to ensure timely availability of parts for scheduled and unscheduled maintenance, including AOG situations.
  • Processes purchase requests and communicates with vendors regarding pricing, availability, and delivery timelines.
  • Prepares and processes shipping and receiving documentation, including hazardous materials compliance when applicable.
  • Monitors stock levels and alerts management of shortages, discrepancies, or obsolete inventory.
  • Maintains organized storage areas to ensure efficiency, safety, and compliance.
  • Assists with vendor management and ensures use of approved suppliers.
  • Supports internal and external audits by maintaining accurate and complete records.
  • Utilizes inventory and maintenance tracking systems to document transactions and maintain traceability.
  • Performs other duties as assigned.

Required Qualifications:

  • Basic knowledge of inventory control, procurement, or logistics processes
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Basic computer proficiency, including Microsoft Office and inventory systems
  • Able to pass a background check and drug screen

Preferred Qualifications:

  • Experience in aviation, maintenance, or materials/logistics support
  • Familiarity with FAA regulations related to aircraft parts and documentation

Travel Requirements:

  • Little to no travel is required, though occasional minimal travel may be necessary to support operational needs across the organization.

Working Conditions & Physical Demands:

  • Work is performed in warehouse, hangar, and office environments, as well as on airport ramps.
  • Exposure to varying weather conditions when working outdoors.
  • Exposure to noise, fuels, oils, and other materials common in aviation environments.
  • Requires standing, walking, bending, and lifting for extended periods.
  • Must be able to lift, carry, push, and/or pull up to 50 pounds regularly, and occasionally more with assistance.
  • Ability to operate basic warehouse equipment such as pallet jacks or carts.
  • Requires manual dexterity for handling parts, tools, and documentation.
  • Ability to work flexible hours as needed to support maintenance operations.
