Position: Executive & Personal Assistant

Location: Houston, TX

Employment Type: Direct Hire

Pay: $95,000.00-$110,000.00 DOE

Schedule: M-F - availability after hours and weekends

Position Summary

We are seeking a highly organized, resourceful, and discreet Executive Assistant to provide comprehensive support to the President. This role requires a professional who thrives in a fast-paced environment, anticipates needs, and manages competing priorities with confidence. The ideal candidate is equally comfortable coordinating executive business operations, managing complex travel, supporting personal and family matters, and maintaining strict confidentiality.

The successful candidate is proactive, detail-oriented, and adaptable. They demonstrate exceptional professionalism, anticipate needs before they arise, and consistently deliver a high level of service. This position requires integrity, discretion, and the ability to build trusted relationships while supporting both executive business operations and personal responsibilities.

Key Responsibilities

Executive Support

  • Manage the President's dynamic schedule, ensuring meetings, appointments, and priorities are organized efficiently.
  • Coordinate communications with executives, clients, business partners, and vendors while serving as a trusted point of contact.
  • Prepare presentations, reports, meeting materials, and briefing documents to support executive decision-making.
  • Monitor incoming correspondence, prioritize requests, and ensure timely follow-up on action items.
  • Adapt quickly to changing business priorities and provide support outside normal business hours when urgent matters arise.

Travel & Logistics

  • Coordinate domestic and international travel, including flights, accommodations, ground transportation, and detailed itineraries.
  • Arrange executive-level dining reservations, meetings, and special events while accommodating schedule changes and time zone differences.
  • Track and reconcile travel expenses, corporate credit card activity, and related budgets with a high degree of accuracy.

Security & Confidentiality

  • Work closely with security professionals to support executive and family safety during travel and daily operations.
  • Coordinate secure transportation and logistics for business travel, special events, and valuable company assets.
  • Oversee visitor access, confidentiality documentation, and security procedures for executive offices and private residences.
  • Respond to security notifications and serve as a key point of contact for urgent travel or residential matters.
  • Maintain complete discretion when handling confidential business information, financial records, and personal matters.

Personal & Household Support

  • Assist with personal scheduling, household administration, and family logistics.
  • Coordinate appointments, private travel, events, and concierge-style requests.
  • Manage personal billing, special projects, and administrative tasks with professionalism and attention to detail.
  • Balance personal responsibilities alongside executive business priorities while ensuring exceptional service and confidentiality.

Qualifications

  • 3–7 years of experience supporting C-suite executives, entrepreneurs, family offices, or high-profile individuals.
  • Experience in luxury retail, hospitality, fine jewelry, fashion, private aviation, or other high-end service environments is preferred.
  • Strong organizational and time management skills with the ability to manage multiple priorities simultaneously.
  • Experience coordinating complex domestic and international travel.
  • Excellent written and verbal communication skills with exceptional professionalism.
  • Proficiency with Microsoft Office 365, Google Workspace, and standard business technology platforms.
  • Ability to exercise sound judgment, maintain confidentiality, and operate independently in a fast-paced environment.
