Location: Boca Raton, FL
Reports to: Head of Operations

Schedule: Full-time, in-person; some flexibility for occasional evenings/weekends as needs shift Compensation: Competitive, commensurate with experience


About the Role 

A private family with four children is seeking a highly organized, resourceful Family Assistant to run the day-to-day logistics of a busy household. You'll be the person who keeps the family's schedule, errands, and daily details running smoothly, and who the household team looks to for direction on the day's plan. The ideal candidate anticipates needs before being asked, communicates proactively, and treats the family's home, privacy, and routines with the utmost discretion.


Key Responsibilities

  • Manage the family calendar and provide a daily schedule overview, including coordination with nannies and drivers
  • Handle errands, shopping, and household restocking
  • Monitor school communications (permission slips, schedules, events, etc.)
  • Book restaurant reservations and other family bookings
  • Manage day-to-day gate access for vendors, deliveries, and playdates
  • Support weekly meal planning, grocery shopping, and appointment scheduling for the kids
  • Help plan birthdays, activities, and family outings
  • Keep the family informed with a daily recap and a heads-up on what's ahead
  • Flag any household items that need attention (maintenance, upkeep, etc.)


Qualifications

  • Prior experience in a private household, family office, or similar high-touch coordination role is preferred; experience supporting a family with multiple children and household staff is a strong plus
  • Excellent judgment, discretion, and a strong sense of confidentiality
  • Highly organized with the ability to juggle multiple priorities and details without dropping anything
  • Strong communication skills, clear and proactive, comfortable keeping parents updated without being asked
  • Comfortable working alongside other household staff collaboratively
  • Warm, friendly, and comfortable being around children day-to-day, though childcare itself is not part of the role
  • Reliable transportation.
