Job description

Position Overview:

The Production Coordinator plays a key role in managing the end-to-end apparel production process, ensuring on-time delivery, quality compliance, and smooth coordination between design, merchandising, factory partners, and logistics teams. This position requires strong organizational skills, attention to detail, and the ability to communicate effectively across time zones and departments.


Key Responsibilities:

1. Production Management

  • Coordinate all stages of production from sample development to bulk shipment.
  • Track production timelines and ensure all deadlines are met (samples, approvals, trims, testing, shipping).
  • Maintain accurate WIP (Work in Progress) reports and update internal systems weekly.
  • Follow up with overseas vendors/factories to ensure production schedules and shipment windows are met.

2. Communication & Coordination

  • Act as the primary liaison between factories, merchandisers, logistics, and warehouse teams.
  • Communicate daily with factories regarding order status, changes, and approvals.
  • Coordinate with design and technical teams for fit approvals, PP (Pre-Production) and TOP (Top of Production) samples, and lab dips.

3. Quality Control & Compliance

  • Review testing and inspection reports; follow up on any corrective actions required.
  • Ensure all garments meet company and retailer quality standards, labeling, and compliance requirements (flammability, fiber content, packaging, etc.).
  • Work with QA teams to schedule inspections and manage AQL (Acceptable Quality Level) processes.

4. Documentation & Data Management

  • Prepare and maintain production trackers, PO summaries, and shipment logs.
  • Verify order confirmations, price sheets, and fabric/trim approvals.
  • Support customs documentation, carton markings, and shipping instructions as needed.

5. Cross-functional Support

  • Support the Merchandising team with costing and vendor negotiations.
  • Collaborate with the Logistics department to monitor ETDs/ETAs, vessel schedules, and delivery confirmations.
  • Assist with sample organization for buyer meetings and internal reviews.


Qualifications:

  • Bachelorโ€™s degree in Fashion Merchandising, Business, or related field preferred.
  • 2โ€“4 years of experience in garment production, merchandising, or sourcing (import/export experience a plus).
  • Strong understanding of apparel manufacturing timelines and garment construction.
  • Proficient in Excel, Google Sheets, and ERP/WIP systems (e.g., NGC, PLM, or similar).
  • Excellent communication and time management skills; able to handle multiple priorities in a fast-paced environment.
  • Detail-oriented with strong follow-up and problem-solving abilities.
  • Proficiency in Chinese (Mandarin) is a plus.


Preferred Skills:

  • Knowledge of compliance testing (CPSIA, flammability, fiber content).
  • Experience coordinating with overseas factories in China.
  • Familiarity with major US retailersโ€™ compliance manuals (TJX, Burlington, Ross, etc.).
