We are seeking an organized, proactive, and detail-oriented Executive/Administrative Assistant to support our senior management team. In this dynamic role, you will be responsible for managing daily operations, scheduling, correspondence, and administrative tasks to ensure the smooth functioning of the executive office. Key Responsibilities:
Executive Support: Assist senior executives with scheduling, meeting coordination, and travel arrangements. Manage calendars and prioritize tasks to maximize efficiency.
Communication & Correspondence: Handle phone calls, emails, and other communications, ensuring that urgent matters are flagged and addressed promptly. Maintain professional relationships with both internal and external stakeholders.
Document Management: Prepare reports, presentations, and documents as required. Ensure that all files are organized, accessible, and confidential information is protected.
Meeting Coordination: Schedule and coordinate meetings, prepare agendas, and take detailed meeting minutes. Follow up on action items and ensure timely completion.
Project Assistance: Support executives in special projects, providing research, tracking progress, and ensuring deadlines are met.
Travel & Event Planning: Organize domestic and international travel, including accommodations, transportation, and itineraries. Assist with organizing company events or meetings.
Office Management: Oversee the general upkeep of the office, order supplies, and manage office equipment. Ensure all office processes run smoothly.
