The Executive Assistant serves as a strategic partner and trusted right hand to multiple members of Blue Cross Blue Shield of Nebraska's Executive Leadership Team (ELT) and Senior Leadership Team (SLT). This role operates at the highest level of the enterprise, providing proactive, high-judgment administrative and operational support that enables senior leaders to stay focused on the priorities that drive organizational success.
More than a traditional support role, the Executive Assistant functions as a trusted enterprise communicator and organizational connector - managing highly sensitive and confidential correspondence, drafting executive-level communications, coordinating complex multi-leader schedules, and serving as a professional representative of BCBSNE with internal teams, the Board of Directors, regulatory contacts, community partners, and external stakeholders. The ability to anticipate needs, exercise sound independent judgment, and operate with absolute discretion in a regulated healthcare environment is fundamental to success in this position.
The Executive Assistant leverages technology, automation, and AI-enabled tools to streamline administrative processes and improve productivity. Continuously evaluates new solutions and adopts best practices to enhance executive support. This role leads coordination of strategic projects, large-scale events, and cross-functional initiatives, while collaborating closely with BCBSNE's broader administrative team to ensure seamless continuity of executive support.

Candidates applying to this position must live within driving distance of the Omaha, Nebraska metro. This position allows remote flexibility but will have 3 day per week in the office.

What you'll do:

1. Executive Calendar & Time Optimization

  • Manages highly complex and rapidly changing calendars, ensuring executive time is aligned with business priorities. Creates efficiencies, resolves conflicts, and protects time for strategic focus and decision-making.

2. Executive Operations & Strategic Partnership

  • Serves as a trusted partner to executive leaders by aligning priorities, managing competing demands, and proactively anticipating needs. Uses sound judgment to support effective decision-making and executive effectiveness.

3. Meeting & Decision Support

  • Prepares agendas, briefing materials, and executive-ready summaries to ensure productive meetings. Tracks key decisions, action items, and follow-up activities to support accountability and organizational alignment.

4. Executive Communications & Stakeholder Management

  • Drafts, edits, and coordinates professional communications, presentations, and reports on behalf of leadership. Serves as a liaison with internal and external stakeholders while maintaining the highest level of professionalism and confidentiality.

5. Project Coordination & Business Operations

  • Coordinates cross-functional projects and administrative initiatives that support business objectives. Monitors progress, facilitates collaboration, and identifies opportunities to improve processes and operational efficiency.

6. Events & Meeting Execution

  • Coordinates leadership meetings, offsite events, and department functions, ensuring seamless execution, exceptional service, and a positive experience for executives, employees, and stakeholders.

7. Travel Logistics & Expense Management

  • Manages end-to-end executive travel planning and logistics, including itineraries, registrations, accommodations, transportation, expense reporting, and contingency planning. Serves as a department travel coordinator arranging travel-related bookings and logistics for team members in accordance with company policies.

8. Leadership, Collaboration & Business Continuity

  • Partners with the administrative team to ensure consistent support, coverage, and knowledge sharing across the organization. Mentors peers, contributes to continuous improvement efforts, and supports a culture of collaboration and operational excellence.

To be considered for this position, you must have:

  • Associate's degree in business administration or related field required; an equivalent combination of education and experience may be substituted.

  • 7+ years of progressively responsible administrative experience providing direct support to C-suite, ELT, or Senior Leadership in a professional enterprise environment. Experience supporting multiple senior leaders simultaneously is strongly preferred.

  • Excellent written and verbal communication skills, including the ability to independently draft, proofread, and edit executive-level correspondence, reports, and presentations with a high degree of accuracy.

  • Advanced proficiency in the Microsoft 365 suite (Outlook, Teams, SharePoint, Word, Excel, PowerPoint, OneNote); demonstrated ability to use AI productivity tools such as Microsoft Copilot; familiarity with expense and travel management systems (e.g., Concur).

  • Flexibility to work outside regular core business hours as needed based on projects assigned and the requirements of supported leadership.

  • Demonstrated ability to represent executive leadership externally with poise, professionalism, and sound judgment when engaging with internal staff, Board members, regulatory contacts, community partners, and other outside parties.

  • The ability to meet or exceed the attendance and timeliness requirements of their departments.

  • The ability to work effectively in a collaborative team environment while building and maintaining positive relationships with staff at all levels, across departments, and with external customers and partners.
