Position Description:

Position Title: Executive Assistant

Department/Ministry: Executive Team

Location: Omaha Campus

Supervisor's Title: Executive Pastor

Position Classification: Non-exempt, Hourly

Position Status: Regular full-time

Ministerial Status: Non-ministerial

Position Summary:

The Executive Assistant serves as a trusted partner to executive leadership by providing administrative, organizational, and operational support that advances the mission and priorities of the church.

Essential Duties and Responsibilities:

The essential functions include, but are not limited to the following:

Executive Leadership Support

Manage and maintain executive calendars, schedules, and appointments.

Coordinate meetings, retreats, leadership gatherings, and special events.

Prepare meeting agendas, supporting materials, and follow-up communications.

Track action items and ensure timely completion of leadership priorities.

Assist with planning and coordination of strategic initiatives and special projects.

Protect executive leaders’ time by helping prioritize requests and commitments.

Anticipate needs and proactively resolve scheduling or operational conflicts.

Project Coordination

Support the execution of church-wide projects and initiatives.

Coordinate information, resources, and follow-up between departments and ministry teams coming out of Executive Team Off-sites.

Monitor project timelines and assist leaders in maintaining momentum on key priorities.

Assist with event planning, logistics, and implementation as needed.

Communication & Information Management

Draft, proofread, and distribute internal communication on behalf of executive leadership.

Facilitate communication follow-up and ensure important information is communicated clearly and accurately.

Organize and maintain records, files, reports, and other leadership resources.

Serve as a professional and welcoming point of contact for staff, Difference Makers, Ministry Leaders, and Legacy Donors.

Help maintain healthy communication flow between Executive Leadership and teams.

Organizational Systems & Reporting

Assist leaders in gathering, organizing, and presenting information for decision-making.

Create reports, summaries, and other resources that provide clarity and insight.

Support process improvement efforts that enhance effectiveness and accountability.

Other Duties

Participate actively in the life and ministry of StoneBridge Christian Church.

Support special events, services, conferences, and church initiatives as needed.

Perform all other duties as assigned in support of the church’s mission and leadership team.

Minimum Qualifications (Knowledge, Skills, and Abilities):

Education and Experience:

Associate’s degree or equivalent experience required, bachelor’s degree preferred.

Minimum of 3 years of administrative, executive support, project coordination, ministry operations, or related experience.

Experience supporting senior leaders or executive teams preferred.

Experience working in a church, nonprofit, ministry, or similarly mission-drive organization preferred.

Knowledge and Skills:

Exceptional organizational and time-management skills

Strong written and verbal communication abilities.

Ability to manage multiple priorities simultaneously while maintaining attention to detail.

Proven ability to handle confidential and sensitive information with discretion.

Strong project coordination and follow-through skills.

Ability to anticipate the needs and solve problems proactively.

High level of emotional intelligence and interpersonal effectiveness.

Ability to remain calm, professional, and adaptable in fast-changing environments.

Strong proficiency with office productivity software (Asana and Planning Center), calendars (Google), communication platforms (Slack), and database systems (Planning Center).

Ability to work independently while maintaining strong collaboration with leaders and teams.
