Executive Assistant |Omaha
AOI is looking for a polished, proactive professional to become the next Executive Assistant to the CEO. If you anticipate needs before anyone says a word, stay composed when priorities shift by the minute, and take pride in details others overlook, this is where you'll thrive.
This is a high-visibility role built for a true professional, someone who earns trust fast, handles sensitive matters with absolute discretion, and elevates everything they touch.
What You'll Do
  • Serve as a trusted partner to the CEO by proactively managing and coordinating a complex and dynamic calendar, including scheduling meetings, appointments, and travel arrangements. Anticipate and resolve scheduling conflicts with minimal disruption.
  • Provide timely reminders and ensure the CEO is well-prepared and has all necessary materials in advance of meetings and appointments.
  • Handle incoming and outgoing communications on behalf of the CEO, including email, phone calls, and written correspondence, exercising sound judgment and discretion at all times.
  • Attend key internal meetings to capture detailed and accurate meeting minutes; ensure timely distribution to all relevant parties and track follow-up action items to completion.
  • Coordinate and manage special projects and initiatives assigned by the CEO, helping facilitate communication and collaboration across departments and team members.
  • Plan and execute internal company events from end to end, managing all logistics including venue, catering, audio/visual, setup, and post-event follow-up.
  • Maintain the company-wide events calendar and partner with senior leadership to compose and distribute internal communications and announcements.
