Job Description Summary

At Wycliffe Bible Translators, your work is more than just a job. As an executive administrative partner in the Offices of the President (OOTP), you'll be responsible for collaborating on strategic tasks, projects and decisions with Executive Leadership Team members. You will partner with the Senior Director of Operations and other OOTP team members to coordinate executive administrative processes and events, manage priorities, and ensure designated executives receive consistent, effective, high-level strategic support.
As a strategic administrative partner, this position delivers comprehensive administrative support to executive leaders, helping them maximize their time to advance Wycliffe USA's global Bible translation mission by managing complex projects and communications, coordinating key initiatives and maintaining strong stakeholder relationships and engagement. As a trusted partner, you will also manage projects and serve as a liaison to internal and external stakeholders.
You'll represent the Offices of the President leadership, partnering with other OOTP team members to:
- Uphold a culture of excellence.

Overview of the Offices of the President

The Offices of the President at Wycliffe Bible Translators play a vital role in driving the organization's vision, mission and strategic direction. Our team is committed to ensuring Wycliffe's ministry stays focused on accelerating Bible translation and impacting lives. The Offices of the President partner with internal and external stakeholders to facilitate key initiatives that promote global partnerships and organizational success.


Responsibilities

You'll make an impact as you:

  • Faithfully and regularly pray for the ongoing work of Bible translation and for people from around the world to experience transformation.
  • Act as an organizational representative presenting the global ministry of Wycliffe and encouraging interested individuals, organizations and churches to participate in the work of Bible translation.
  • Act as a liaison between executives and board members, stakeholders, or clients. Coordinate operational elements across departments (Finance, Facilities, Housing, HR, etc.) to fulfill executive needs.
  • Develop dossiers, minutes, reports, and presentations from research and analytics and align them with branding and communication guidelines.
  • Engage in effective project management to support the chief executives and advance strategic priorities.
    • Coordinate, track and follow through on executive-level, strategic projects, action items and key initiatives to ensure timely completion and appropriate communication with stakeholders.
  • Provide executive support to one or more designated executive leaders.
  • Proactively anticipate needs and independently mitigate administrative and logistical challenges.
  • Provide scheduling and meeting support and manage internal and external meeting logistics, assisting with travel, hospitality or documentation as requested.
  • Coordinate operational elements across departments (Finance, Facilities, Housing, HR, etc.) to fulfill executive needs.
  • Maintain appropriate confidentiality and demonstrate awareness of sensitive information, including basic HIPAA-related privacy considerations, when supporting staff/HR related matters.
  • Complete routine administrative functions.
    • Process expense reports, invoices and reimbursements accurately and in a timely manner.
    • Manage complex calendars and long-term scheduling while prioritizing organizational needs.
    • Monitor executive email and follow up on key items. Draft responses as requested.
    • Maintain awareness of the Office of the President's workflow and crosstrain with other administrative staff.
    • Assist with overall Office of the President (OOTP) administration, including support for ELT, OLT and Board-related meetings as requested.
    • Ensure the Offices of the President remain well-stocked with hospitality supplies, beverages and snacks to support meetings and visiting guests.
  • Perform other duties as assigned by the Chief Executive Leaders, Senior Director of Operations and/or Executive Office Manager.
  • Other Requirements:
    • Travel domestically occasionally.
    • Occasionally, be on call after hours for urgent matters.
    • Ability to work a varied schedule as needed to support executive leaders, meetings, engagements and events across various time zones, including working early morning, evening or weekends according to ministry and constituent demands.

Education & Experience

  • Bachelor's degree in a related field plus 3-5 years of advanced executive administrative support experience, including project management or an equivalent combination of education, training and experience.
  • Project management experience required; project management certification preferred or willingness to obtain certification after hire.
  • Basic understanding of confidentiality practices and HIPAA awareness preferred; willingness to complete HIPAA/privacy training upon hire as needed.

Compensation

The hiring pay range for this position is $30.31-$34.85. The range for this position is based upon and considers Wycliffe's non-profit ministry environment. Actual pay rate may be higher based on various factors such as qualifications, skills and experience, required training, licensure and/or certifications, budget and allocation, if applicable.
