Job description

We are looking for an Executive Assistant to support senior leadership through a contract position that requires strong judgment, organization, and discretion. This role will manage complex schedules, coordinate meeting logistics, and oversee travel planning to help executives stay focused on strategic priorities. The ideal candidate is detail-oriented, responsive, and comfortable handling multiple requests in a fast-paced environment.
Responsibilities:
• Manage executive calendars by organizing appointments, resolving scheduling conflicts, and ensuring leaders are prepared for daily commitments.
• Arrange domestic and international travel plans, including transportation, lodging, and itinerary details, while keeping schedules efficient and accurate.
• Coordinate travel logistics and related updates so executives have clear, timely information before and during trips.
• Organize executive meetings by securing locations or virtual access, preparing agendas or materials, and confirming attendee readiness.
• Serve as a key administrative partner by tracking priorities, following up on action items, and helping maintain smooth day-to-day operations.
• Prepare and distribute meeting documentation, summaries, and logistical details to support effective decision-making and follow-through.• Proven experience supporting executives or senior leaders in an administrative or executive assistant capacity.
• Strong ability to manage complex calendars and balance shifting priorities with accuracy.
• Demonstrated experience coordinating travel arrangements and handling detailed itineraries.
• Ability to support executive meetings with strong planning, organization, and communication skills.
• Excellent written and verbal communication skills with a detail-oriented and discreet approach.
