Prime Executive Office

Job description

Company: Confidential High-Growth CPG Company
Location: Remote with regular travel; west coast US preferred
Reports to: Co-Founder
ABOUT THE COMPANY
Our client is one of the fastest growing and most innovative consumer products companies in the United States. Built around a mission to improve consumer well-being through science-backed products, the company has experienced remarkable growth and national recognition while remaining deeply committed to its purpose-driven culture.
Led by an entrepreneurial founder, the organization combines rapid innovation with a strong emphasis on collaboration, integrity, and long-term impact. The company has attracted world-class talent and continues to redefine its category through thoughtful product development and an unwavering focus on its customers.
This is a rare opportunity to partner directly with the Co-Founder of a category-defining brand during an exciting period of continued growth.
THE ROLE
This is not a traditional EA/PA position. This is an opportunity to become the trusted operational partner to one of the most innovative founders in consumer products.
The EA/PA serves as the Co-Founder's closest day-to-day partner, building a relationship grounded in trust while creating the structure, organization, and follow-through that allows him to focus on the work only he can do. The role blends executive partnership, project management, founder operations, and personal support into one highly trusted relationship.
The Co-Founder is an entrepreneurial, highly creative, and deeply strategic thinker. He generates ideas quickly, thrives in ambiguity, and naturally gravitates toward innovation and long-term vision. The EA/PA complements that style by bringing clarity, prioritization, thoughtful execution, and exceptional judgment.
Success in this role isn't measured by how well you manage a calendar. It's measured by how effectively you help a visionary founder stay focused on the highest-impact work while ensuring everything around him continues moving forward.
The right person enjoys bringing order to complexity, builds trust through authenticity and consistency, remains calm amid changing priorities, and genuinely finds fulfillment in helping others perform at their best.
KEY RESPONSIBILITIES
Executive Partnership & Time Optimization
  • Own the Co-Founder's calendar, ensuring priorities are thoughtfully sequenced and focus time is protected.

  • Serve as the primary gatekeeper for meetings, requests, travel, and incoming priorities.

  • Coordinate complex domestic and international travel, including speaking engagements, investor meetings, board activities, and media appearances.

  • Prepare agendas, briefing materials, research, and meeting preparation.

  • Capture action items, drive follow-up, and ensure commitments are completed.

  • Manage communication across Slack, text messages, voice notes, and email.

  • Listen carefully, synthesize ideas, and translate them into clear priorities, next steps, and action plans.

  • Anticipate needs, remove friction, and proactively solve problems before they arise.

Founder Operations & Strategic Coordination
  • Collaborate with leaders across Innovation, Communications, Marketing, and other functions to coordinate priorities and ensure alignment.

  • Partner closely with the Executive Office, collaborating with fellow Executive Assistants to share context, coordinate priorities, and ensure seamless support across the organization.

  • Coordinate initiatives supporting the Co-Founder's work as Chair, innovator, and public thought leader.

  • Help maintain focus on strategic priorities while reducing unnecessary operational distractions.

  • Track initiatives, decisions, and commitments across multiple workstreams.

  • Coordinate board preparation, podcasts, interviews, speaking engagements, and external thought leadership in partnership with the Chief of Staff and Senior Director of Communications + PR.

  • Exercise sound judgment by providing thoughtful context, helping organize decisions, surfacing priorities, and offering practical recommendations when appropriate.

Personal Partnership
  • Manage personal calendar, appointments, travel, and household logistics.

  • Coordinate vendors, contractors, service providers, and personal administrative matters.

  • Assist with medical scheduling, financial reminders, tax coordination, relocation activities, and household organization.

  • Support select personal travel and logistics.

  • Coordinate personal projects, including creative pursuits and music-related activities.

  • Build practical systems that simplify complexity and help the Co-Founder stay focused on the highest-value work.

Executive Travel & Presence
  • Travel alongside the Co-Founder, as needed, for conferences, speaking engagements, investor events, board meetings, and strategic offsites.

  • Coordinate all travel logistics before, during, and after trips.

  • Ensure the Co-Founder has everything needed to perform at his highest level while traveling.

  • Partner with Communications + PR, outside agencies, and event organizers to support public appearances.

  • Represent the company professionally while interacting with executives, investors, media partners, and external stakeholders.

WHAT WE'RE LOOKING FOR
Success in this role comes from partnership more than perfection.
We're looking for someone who naturally complements an entrepreneurial founder, someone who enjoys bringing clarity to complexity without creating unnecessary rigidity.
The strongest candidates will bring:
  • 8+ years serving as a trusted partner to founders, CEOs, or senior executives in high-growth organizations, with experience supporting both executive and personal priorities. Experience in founder-led businesses is strongly preferred; consumer products experience is a plus.

  • Exceptional project management, organizational, and prioritization skills.

  • Strong business judgment with the ability to anticipate needs, remove obstacles, and exercise sound discretion.

  • Thrives in a highly hands-on partnership, bringing consistent follow-through, proactive support, and exceptional attention to detail.

  • Comfortable supporting a visionary founder in a fast-paced environment where priorities evolve quickly.

  • Able to listen carefully, synthesize complex information, and translate ideas into clear priorities and actionable next steps.

  • Curious, collaborative, and low ego, with a genuine desire to understand before acting and to contribute to team success.

  • Direct, candid communicator who builds trust through honesty, professionalism, and healthy boundaries.

  • Emotionally grounded, adaptable, and calm under pressure.

  • Finds fulfillment working behind the scenes and enabling others to perform at their best.

  • Excited by a role that blends executive partnership with personal support; no task is too big or too small.

  • Willing and able to travel regularly in support of the Co-Founder.
