Position Summary

We are seeking a highly organized and proactive Executive Administrative Assistant to support CYPFER’s Executive Chairman.

On behalf of the executives, the incumbent will spearhead administrative, project, and operational support, ensuring seamless day-to-day execution of tasks, scheduling, follow-up, and communications. The ideal candidate will be initiative-taking, attentive, and possess a keen sense of discretion to interact with a complex range of stakeholders.

Highly capable of anticipating multiple executive priorities and deliverables in a demanding environment.

Recent college grads with campus leadership and athletics experience also encouraged to apply.


Key Responsibilities

  • Anticipating the priorities and deliverables of the executives, assist in follow-up and gathering relevant information/data from direct reports, the CYPFER leadership team, and stakeholders across the business.
  • Coordinate meetings, including board meetings, executive retreats, company celebrations, and leadership meetings; maintain calendars and handle correspondence on behalf of the executives with an intense level of accuracy and detail.
  • Arrange travel and spearhead planning for on-site meetings, conferences, both domestic and international, community outreach, team events, and other off-site functions.
  • Create reports, presentations, status updates, and other business documents as needed to streamline and organize executive administrative workflows.
  • Prepare agendas, gather relevant deliverables and reports, take meeting minutes, and drive action-item follow-up routines on executive directives and projects.
  • Maintain records, track deadlines, and assist with office operations.
  • Assist with ad hoc initiatives and operational improvements as assigned.
  • Maintain confidentiality with professionalism at all times.
  • Partner with the operations and leadership teams to ensure alignment and clear communication across the organization.


Job Requirements

  • Operates in a fast-paced work environment in a global organization. Requires the ability to multitask and adapt quickly to changing priorities. May involve tight deadlines and high-energy work situations.
  • Work is primarily conducted in an office setting. Requires sitting at a desk or workstation for extended periods. Involves the use of standard office equipment such as computers, phones, and printers.
  • Requires the ability to sit or stand for extended periods. Minimal physical effort in the day-to-day tasks.
  • Minimal travel may be required for occasional meetings, training, or conferences.
  • A collaborative and service-oriented attitude.

  • Ability to work independently, fulfill commitments, and manage responsibilities with little supervision.


Qualifications

  • 3+ years of executive administrative, executive assistant, office management, or related experience supporting senior leaders in a fast-paced environment.
  • Experience coordinating meetings, travel, and expenses.
  • Strong Microsoft Office Suite skills, including Outlook, Word, Excel, and PowerPoint.
  • Discretion and professionalism in handling confidential information.
  • Proactive, problem-solving mindset with an elevated level of attention to detail.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication abilities
  • Strong interpersonal skills to engage with internal teams and external partners.
  • Background in cybersecurity, technology, law firms, or professional services environments preferred.
  • Bachelor’s degree preferred, or equivalent experience.
  • Project management experience considered an asset.
  • Administrative professional certification(s), such as CAP, CEAP, PACE, or similar, considered an asset.
