What You’ll Do
  • Provide high-level administrative and operational support to the HR Leader, ensuring day-to-day activities are organized, efficient, and well-coordinated.
  • Serve as a strategic administrative partner by anticipating needs, prioritizing competing requests, and resolving routine issues with minimal direction.
  • Confidently represent the HR Leader in interactions with C level executives, internal stakeholders, and external partners.
  • Manage complex executive calendars, schedule meetings, coordinate travel, and process expenses while balancing shifting priorities.
  • Drive consistency in administrative operations by maintaining effective processes and ensuring alignment with company policies and standards.
  • Develop and maintain simple dashboards, trackers, and reporting tools to monitor progress on key initiatives and action items.
  • Turn executive direction into clear, actionable plans and ensure pre-work, agendas, and materials are ready for leadership meetings.
  • Attend leadership meetings as requested, capture concise and accurate notes, track follow-ups, and ensure commitments are completed.
  • Coordinate recurring leadership events such as executive meetings, business reviews, all-hands, and off-site planning sessions, ensuring all logistics are seamless.
  • Lead coordination of executive visits and internal events, creating a professional, welcoming experience for leaders and guests.
  • Partner closely with Facilities to ensure conference rooms, executive offices, and meeting spaces are prepared and functioning, taking ownership of the executive work environment.
  • Support development of executive-level presentations and related logistics for board and leadership communications.
  • Protect confidential information, including documents and communications, while exercising sound judgment and discretion at all times.
  • Act as a central liaison between senior leadership and internal teams, promoting clear, timely communication and alignment.
  • Provide occasional on-site support at other company locations as business needs arise.
To Be Successful in This Role, You'll Bring:
  • 3+ years of experience in an Executive Assistant or Executive Administrator role supporting senior or C level leadership.
  • Demonstrated ability to communicate confidently and professionally with senior leaders, cross-functional teams, and external partners.
  • Exceptional organizational, time management, and prioritization skills, with strong attention to detail and follow-through.
  • Proven success managing complex calendars, coordinating executive travel, and handling sensitive information with discretion.
  • Experience capturing meeting minutes, tracking action items, and holding teams accountable for follow-ups.
  • Strong written and verbal communication skills, including comfort preparing and polishing executive-ready presentations and correspondence.
  • Advanced proficiency in Microsoft Office, including Word, Excel, and PowerPoint.
  • Ability to remain calm, resourceful, and effective in a dynamic environment with shifting priorities and urgent requests.
  • Experience coordinating facilities or workplace needs in an executive environment is strongly preferred.
  • Continuous improvement mindset, with exposure to process improvement or operational excellence concepts considered a plus.
