Job description

The Executive Assistant will assist with calendar management, team communication, meeting preparation, follow-up tasks, client and referral-partner correspondence, event coordination, reporting, and special projects. This person will help ensure important deadlines, commitments, and opportunities do not fall through the cracks.

The right candidate will have strong communication skills, a positive attitude, excellent judgment, and a willingness to take ownership. They must be comfortable working with clients, real estate agents, team members, and business partners while delivering the high level of service and professionalism expected from the Sewell Team.

Compensation:

$40,000 - $45,000


Responsibilities:
  • Manage Brian’s calendar, appointments, meetings, and daily schedule.

  • Organize priorities and help ensure important tasks and deadlines are completed.

  • Prepare agendas, notes, reports, and materials for team meetings.

  • Manage emails, messages, and correspondence on Brian’s behalf when appropriate.

  • Communicate professionally with clients, real estate agents, referral partners, vendors, and team members.

  • Coordinate client, agent, coaching, and team events, including invitations, registration, materials, and follow-up.

  • Update and manage information in Salesforce, Homebot, and other company systems.

  • Help prepare weekly production, pipeline, lead, and referral-partner reports.

  • Schedule follow-up calls, meetings, and relationship-building activities with agents and past clients.

  • Support recruiting, interviewing, onboarding, and training of new team members.

  • Handle confidential client, employee, and business information with discretion.

  • Identify problems, recommend solutions, and take initiative without waiting for constant direction.

  • Help protect Brian’s time by managing interruptions and keeping the team focused on top priorities.

  • Coordinate special projects and make sure ideas are turned into completed action steps.

  • Maintain a positive, professional attitude and help create a strong team culture.

  • Deliver WOW service in every interaction with clients, partners, and team members.


Qualifications:
  • Accustomed to working on strict deadlines and handling confidential information
  • Must be comfortable using Microsoft Office
  • High school diploma or G.E.D. required
  • 2+ years performing supportive duties in a personal assistant or executive assistant role, or similar
  • Strong organizational skills, communication skills, time management skills, and interpersonal skills
  • Strong organizational and time-management skills.

  • Ability to manage multiple priorities, deadlines, and projects at the same time.

  • Excellent written and verbal communication skills.

  • Strong attention to detail and commitment to accuracy.

  • Dependable, responsible, and able to follow through on commitments.

  • Proficient with Microsoft Office, Google Workspace, email, calendars, spreadsheets, and presentation software.

  • Previous experience as an executive assistant, administrative assistant, office manager, or similar role is preferred.

  • Mortgage, real estate, banking, or financial-services experience is helpful but not required.

  • High school diploma or equivalent required; associate or bachelor’s degree preferred.

  • Coachable, eager to learn, and open to feedback.

  • High level of character, integrity, professionalism, and emotional maturity.
