This role supports the Managing Principal(s) and leadership team by combining executive support, office and studio operations, and marketing/business development coordination. The position serves as a central point of coordination across the firm, helping leadership execute priorities, maintain operational efficiency, and support business growth.

Responsibilities

Executive Support

Support Managing Principal(s) and leadership team with day-to-day administrative and operational needs.

Manage complex calendars, scheduling, and meeting coordination.

Coordinate internal meetings, client meetings, presentations, and conferences.

Prepare agendas, presentations, reports, correspondence, and other business documents.

Attend meetings, capture notes, track action items, and monitor follow-up.

Assist with planning and execution of strategic initiatives and leadership priorities.

Coordinate communication across leadership, project teams, and administrative staff.

Arrange travel, accommodations, itineraries, and expense reporting.

Support budgeting activities and prepare administrative reports and tracking documents.

Draft and distribute internal communications and announcements.

Coordinate leadership meetings, retreats, team events, and culture initiatives.

Track priorities, deadlines, and deliverables across multiple stakeholders.

Serve as a trusted partner to leadership and help drive accountability on key initiatives.

Identify opportunities to improve processes, organization, and efficiency.

Marketing & Business Development Support

Maintain resumes, project sheets, qualifications packages, and marketing collateral.

Support proposal preparation, formatting, assembly, and submission.

Coordinate presentation materials and client-facing documentation.

Coordinate project and team photography sessions.

Manage meeting rooms, hospitality, and conference space logistics.

Coordinate office supplies, purchasing, shipping, mail, and vendor services.

Serve as the primary contact for building management and facilities coordination.

Maintain materials libraries, samples, and resource organization.

Manage digital and physical filing systems and administrative records.

Provide administrative support to project teams as needed.

Support onboarding logistics and office-related employee needs.

Coordinate office events, celebrations, and employee engagement activities.

Handle confidential information with discretion and professionalism.

Perform additional projects and responsibilities as assigned.
