Position Overview
The Executive Assistant 2 will provide comprehensive administrative support to executives, senior management, and the FROW leadership team.
The successful candidate will independently manage administrative activities while serving as a key point of coordination between leadership, employees, supplemental staff, business partners, and external stakeholders.
This role requires exceptional organizational skills, professionalism, discretion, attention to detail, and the ability to work independently in a fast-paced corporate environment.
In addition to traditional executive administrative responsibilities, this position will support business processes involving Oracle Cloud ERP, Oracle HCM, Microsoft Office 365, Microsoft Teams, Microsoft Planner, SharePoint, and ARCOS.
Requirements
Key Responsibilities
Executive & Administrative Support
  • Provide high-level administrative support to executives and senior management.
  • Manage executive calendars, appointments, meetings, and scheduling requirements.
  • Coordinate meetings involving multiple departments, leaders, and stakeholders.
  • Answer and screen telephone calls, emails, correspondence, and inquiries as appropriate.
  • Serve as a professional point of contact between executives, employees, contractors, and external stakeholders.
  • Prepare and organize materials for executive and departmental meetings.
  • Assist leadership with day-to-day administrative and operational needs.
  • Anticipate leadership needs and proactively address administrative requirements.
Calendar, Meeting & Event Coordination
  • Independently manage executive and leadership calendars.
  • Schedule individual, departmental, and group meetings.
  • Coordinate meeting locations and conference rooms.
  • Coordinate catering and refreshments when required.
  • Arrange technology and audiovisual requirements.
  • Prepare meeting agendas and supporting documentation.
  • Attend meetings as needed and prepare:
    • Meeting notes
    • Action items
    • Follow-up documentation
    • Correspondence
    • Letters
  • Coordinate executive-level events and special projects.
  • Assist with travel arrangements, accommodations, schedules, and itineraries as required.
Expense & Financial Administration
  • Manage expense entry for the FROW Department utilizing Oracle Cloud ERP.
  • Review expense information for completeness before entry.
  • Maintain appropriate documentation supporting departmental expenses.
  • Assist leadership and employees with expense-related administrative matters.
  • Coordinate with appropriate internal departments to resolve routine expense issues.
  • Maintain accurate and organized financial and administrative records.
Timekeeping Administration
  • Serve as the Group Timekeeper for the FROW Department.
  • Assist with employee time correction issues using Oracle HCM.
  • Coordinate with employees and leadership regarding timekeeping discrepancies.
  • Ensure timekeeping corrections and administrative actions are completed accurately and promptly.
  • Maintain appropriate confidentiality when handling employee information.
ARCOS & Departmental Data Administration
  • Maintain base ARCOS call-out data in coordination with FROW leadership.
  • Perform accurate data entry and system updates.
  • Assist leadership with maintaining current departmental information.
  • Identify discrepancies and coordinate corrections when appropriate.
  • Maintain high standards of accuracy when working with operational data.
Strategic Planning Support
  • Enter and maintain information within departmental strategic planning applications.
  • Utilize Microsoft Teams and Microsoft Planner to support planning activities.
  • Assist leadership with monitoring assignments, action items, and departmental initiatives.
  • Organize and maintain information supporting strategic and operational priorities.
  • Assist with administrative tracking and follow-up on departmental projects.
Document & Records Management
Assist the Business Support Team with document preparation, process documentation, records management, and file-maintenance activities, including:
  • Formatting PowerPoint presentations.
  • Preparing and formatting Microsoft Word documents.
  • Maintaining and updating Excel spreadsheets.
  • Combining and organizing PDF documents.
  • Extracting appropriate information from contracts for escalation-related activities.
  • Organizing departmental files.
  • Maintaining electronic records within Microsoft SharePoint.
  • Supporting records retention and future document disposition requirements.
  • Preparing correspondence and departmental documentation.
  • Proofreading documents for grammar, formatting, consistency, and accuracy.
Employee & Contractor Onboarding Support
  • Assist FROW leadership with onboarding activities for employees and supplemental workforce personnel.
  • Coordinate onboarding documentation and administrative requirements.
  • Assist with scheduling and logistical arrangements.
  • Track required documentation and follow up on outstanding items.
  • Coordinate with internal stakeholders to help ensure a smooth onboarding experience.
  • Maintain confidentiality of personnel and employment-related information.
Confidentiality & Professional Discretion
The Executive Assistant 2 will regularly have access to confidential and sensitive business and personnel information.

Required Qualifications
Candidates should possess:
  • 2-5 years of previous experience as an Executive Assistant, Senior Administrative Assistant, Executive Coordinator, or equivalent administrative position.
  • 2-5 years of professional experience using Microsoft Office 365 in a corporate environment.
  • Demonstrated experience supporting executives, senior managers, or departmental leadership.
  • Experience independently managing calendars and meetings.
  • Experience preparing professional correspondence, reports, presentations, and business documents.
  • Strong administrative, organizational, and document-management experience.
  • Ability to manage confidential and sensitive information.
  • Ability to work independently and manage competing priorities.
  • Strong written and verbal communication skills.
Technical Skills
