Job description

Overview

Pacific Retirement Services is seeking an experienced, highly trusted Executive Partner to the CEO to provide executive-level administrative, operational, governance, and project management support. This is a highly visible role in a formal executive environment requiring exceptional professionalism, executive presence, tact, discretion, and sound judgment.

This is not a traditional administrative support role. As a strategic business partner and trusted representative of the CEO’s office, you will help manage executive priorities, protect the CEO’s focus, support decision-making, coordinate Board governance, and ensure important work moves forward across the organization. You will also provide executive administrative support to the C-Suite, helping drive alignment, collaboration, and follow-through.

Work Location & Travel: This role is remote, with ideal candidates based in Oregon, Washington, California, or Arizona. Because this position works closely with the President & CEO, executive leadership, and Board, frequent onsite travel to the PRS Central Office in Medford, Oregon is an essential part of the role. Candidates must be able to consistently work within the Pacific Time Zone and should be located where travel to Medford can be accomplished via a single commercial flight. Frequent travel is required, and candidates must have a valid driver’s license, meet PRS driving eligibility requirements, be insurable, and be eligible to rent a car.

Wage: $114,000–$143,000, depending on experience and geographic location.

What You’ll Do: You will manage the CEO’s calendar, inbox, communications, Board functions, travel, confidential information, executive operations, and key projects with exceptional discretion, judgment, and follow-through.

Key responsibilities include:

  • Serve as a strategic partner and gatekeeper to the CEO, managing priorities, information flow, competing requests, and complex scheduling.
  • Anticipate executive needs by identifying issues, gathering information, preparing recommendations, and resolving routine matters independently.
  • Handle highly confidential business, personnel, financial, governance, and strategic information with discretion, diplomacy, and sound judgment.
  • Coordinate executive and leadership meetings, including agendas, briefing materials, presentations, logistics, action items, and follow-up.
  • Serve as the primary administrative liaison between executive leadership and the Board of Directors, coordinating Board and committee meetings, materials, records, minutes, logistics, and follow-up.
  • Prepare, edit, and coordinate executive communications, presentations, announcements, speeches, correspondence, and reports.
  • Track executive priorities, strategic initiatives, Board requests, and project deliverables to ensure accountability and timely completion.
  • Coordinate complex executive travel, itineraries, logistics, and expense reporting.
  • Support executive projects, research, leadership meetings, retreats, conferences, and special assignments on behalf of the CEO.
  • Partner with senior leaders, community leadership, administrative professionals, and external stakeholders to support alignment and execution.

What You Bring

  • 10+ years of progressively responsible executive administrative experience supporting C-suite executives.
  • Demonstrated experience supporting CEOs, Boards of Directors, executive leadership teams, or comparable senior leadership environments.
  • Exceptional organizational, planning, project management, and prioritization skills.
  • Outstanding written and verbal communication skills and a highly polished, professional presence.
  • Strong business acumen, sound judgment, discretion, and the ability to anticipate needs and solve problems proactively.
  • Advanced proficiency with Microsoft Office Suite, collaboration technologies, presentation software, and modern business applications.
  • Associate or bachelor’s degree in business administration or a related field preferred.
  • Valid driver’s license, insurability, acceptable driving record, and eligibility to rent a car.
