Position Summary:
  • The Senior Executive Assistant serves as a strategic partner to the organization's executive leadership team, providing high-level administrative, operational, and project management support. This position is responsible for managing executive schedules, coordinating Board of Directors activities, facilitating executive communications, and ensuring the efficient execution of organizational priorities. The Senior Executive Assistant operates with a high degree of professionalism, discretion, initiative, and independent judgment. This individual must be highly organized, technologically savvy, and capable of balancing strategic responsibilities with tactical execution. The successful candidate is a self-starter who anticipates organizational needs, proactively solves problems, maintains confidentiality, and collaborates effectively across all levels of the organization.
Job Duties:
  • Provide comprehensive administrative support to members of the Executive Leadership Team.
  • Manage complex executive calendars, scheduling priorities, travel arrangements, and meeting logistics.
  • Coordinate and facilitate communications between executive leadership, internal stakeholders, external partners, and community leaders.
  • Serve as the primary liaison between the Executive Leadership Team and the Board of Directors.
  • Coordinate all Board of Directors meetings, committee meetings, retreats, and special events.
  • Prepare and distribute Board meeting agendas, board packets, presentations, minutes, resolutions, and supporting materials.
  • Maintain official Board records, governance documentation, meeting minutes, and organizational archives.
  • Assist executive leadership with strategic initiatives, special projects, and organizational priorities.
  • Track action items, project milestones, deadlines, and deliverables to ensure accountability and timely completion.
  • Draft, edit, proofread, and distribute executive correspondence, reports, presentations, and organizational communications.
  • Prepare executive briefing materials, research reports, and presentation content for internal and external meetings.
  • Monitor organizational priorities and proactively identify opportunities to improve operational efficiency and effectiveness.
  • Exercise independent judgment to resolve routine and complex administrative matters.
  • Maintain strict confidentiality regarding sensitive organizational, personnel, governance, and financial information.
  • Coordinate executive and board-related technology platforms, including virtual meeting systems, document management systems, and collaboration tools.
  • Facilitate communication and information flow among executive leadership, Board members, and organizational stakeholders.
  • Support organizational events, leadership retreats, board development activities, and strategic planning initiatives.
  • Ensure all assigned projects, communications, and deliverables are completed accurately and within established timelines.
  • Other job-related duties as assigned.

Education and Experience:
  • Bachelor's degree in Business Administration, Communications, Public Administration, Organizational Leadership, or a related field preferred.
  • Minimum of five (5) years of progressively responsible executive administrative support experience required.
  • Three (3) years experience supporting senior executives, executive leadership teams, or governing boards required.
  • Demonstrated experience coordinating Board of Directors activities, governance processes, and executive-level meetings required.
  • Advanced proficiency with Microsoft Office Suite and virtual collaboration platforms required.
  • Experience with board management software, project management tools, and document management systems preferred.
Physical Requirements:
  • Prolonged periods of sitting at a desk and working on a computer.
  • Ability to travel occasionally for board meetings, retreats, conferences, and organizational events.
  • Ability to work flexible schedules as necessary to support executive and board-related activities.
  • Ability to operate standard office equipment.
  • Hybrid or on-site work environment as determined by organizational needs.
  • Work a flexible schedule, including evenings and weekends to meet client needs (as directed).
