Job description

Executive Operations Specialist

The main purpose of PERI's Executive Operations Specialist (EXOPSPT) position is to serve as a strategic partner to the Executive Leaders, providing high-level executive support while driving cross-functional initiatives, operational excellence, and organizational effectiveness. The EXOPSPT combines traditional executive administration with strategic planning, project management, stakeholder engagement, and executive communications. Leveraging PERI's resources, the EXOPSPT acts as a key point of contact, and exercising sound judgment in handling highly confidential and sensitive information. In addition, it is the responsibility of the EXOPSPT position to be highly organized, proactive, business-savvy, and capable of managing multiple priorities in a fast-paced environment while maintaining confidentiality and professionalism.

What you'll do on a typical day:
  • Provide strategic and administrative support to the Executive Leader by managing complex calendars, prioritizing competing demands, preparing presentations, reports, and communications, coordinating leadership meetings and events.
  • Act as a project manager to drive organizational effectiveness by facilitating communication across departments, coordinating leadership priorities, tracking business objectives, key performance indicators (KPIs), and action plans, preparing executive dashboards and updates, and ensuring accountability and follow-through on critical decisions and initiatives.
  • Lead and manage cross-functional projects and business initiatives from planning through execution by developing project plans, timelines, and communication strategies, coordinating stakeholders, monitoring risks and dependencies, supporting management efforts, and delivering executive-level reporting on project status, outcomes, and recommendations.
  • Coordinate agendas, logistics, travel arrangements, and expense management for executive and leadership activities.
  • Draft, edit, and distribute executive communications, presentations, speeches, and leadership messaging.
  • Facilitate meetings, document decisions, and track action items to ensure timely completion.
  • Build and maintain effective working relationships with internal and external stakeholders.
  • Serve as a liaison between leadership, employees, clients, vendors, and other business partners.
  • Analyze business data and provide insights and recommendations to support decision-making.
  • Develop and maintain reporting tools, dashboards, and project documentation.
What you'll need to be successful:
  • Post secondary education degree in Business Administration, Management, Human Resources, Communications, or a related field preferred (add standard language) or equivalent years of experience.
  • PMP, CAPM, Agile, or similar project management certification preferred.
  • Proficiency in Microsoft 365 (Outlook, Teams, PowerPoint, Excel, Word, SharePoint, and Copilot).
  • 7+ years of experience supporting senior executives, including executive administration, chief of staff, project management, or business operations.
  • Experience working directly with C-suite executives and senior leadership teams.
  • Time Management: Prioritizes tasks, respects deadlines, demonstrates a sense of urgency, and manages time efficiently.
  • Organization: Coordinates tasks, tracks details, and ensures quality and understanding.
  • Confidentiality: Ability to maintain a high level of confidentiality with sensitive information.
  • Business Acumen: Understands organizational and financial aspects, strategic planning, and industry awareness.
  • Proficiency in German preferred, but not required
