Description

Contribute to increasing team efficiency by giving support both operationally and administratively. This may include clerical tasks, reception, organizational tasks, meeting arrangements, office supply management, and a variety of other assignments. This position serves as the first point of contact for the Executive Suite and plays an important role in supporting Sea Box's culture and daily operations.


Job Summary

This position reports to the Executive Assistant to the CEO. This position requires extensive software skills, as well as Internet research abilities and strong communication skills. Reporting Skills, Administrative Writing Skills, Microsoft Office Skills, Managing Processes, Organization, Analyzing Information, Professionalism, Customer Service, and Problem Solving are essential. This position will provide administrative support to company leadership and departments while managing the reception area outside of the Executive Suite.


Responsibilities:

Have the ability to handle various tasks such as: 

Accident prevention - actively identify, correct and/or report safety hazards to prevent accidents.

Actively identify and pursue cost reduction and efficiency/profit improvement opportunities.

Support the ISO 9001 Quality Management System and the Sea Box Quality Policy calling for self-inspection of your work product.

Serve as the primary point of contact at the Executive Suite entrance by greeting visitors, customers, vendors, and employees in a professional and courteous manner.

Greet arriving persons, determine nature and purpose of visit and direct or escort them to their destination.

Operate telephone to answer, screen, and forward calls to provide information, take messages, and schedule appointments.

Aid and coordination regarding company meetings and events. This task may include some or all the following: scheduling, invitation, reservation and preparation of guest accommodations and the distribution and preparation of meetings.

Assist with conference room readiness and visitor hospitality.

File and scan documents, organize office, order stationery and any other supplies needed.

Maintain inventory of office, kitchen, and conference room supplies and coordinate replenishment as needed.

Assist departments with administrative requests and special projects.

Distribute mail and packages to designated recipients.

Assist with the NDA process and visitor documentation requirements.

Create and maintain spreadsheets, databases, and other administrative tracking tools as directed.

Provide support and backup coverage for administrative staff as needed.

Occasional errands and general office support.

Learn and promote Sea Box culture through employee engagement activities, company events, and daily interactions.

Must be able to fulfill essential job function in a consistent state of alertness and safe manner.

Perform other duties as assigned.

Salary range: $$19.23 / hour - $23.76 / hour

Requirements

Education: High school diploma, Associates Degree Preferred. 


Experience: Work requires 1 - 3 years of clerical or office environment experience. Two to five years of clerical, administrative, customer service, or office environment experience preferred.
