About the Job:
¨ Provide high-level executive support to the CEO and COO, managing calendars, scheduling, travel coordination, meeting logistics, and shifting priorities
¨ Serve as a trusted liaison between leadership, staff, vendors, and external stakeholders while helping maintain strong communication and follow-through across the organization
¨ Assist with recruiting and staffing coordination, including resume review, interview scheduling, applicant communication, onboarding logistics, and offer letter preparation
¨ Coordinate onboarding and offboarding processes while facilitating communication and execution across departments
¨ Support workflow and organizational coordination across multiple offices, helping maintain accountability, efficiency, and operational consistency
¨ Prepare agendas, reports, presentations, and internal documentation for executive and management meetings
¨ Assist with expense reimbursements, invoice review, operational reporting, and administrative financial processes
¨ Support office operations, including vendor coordination, inventory management, workplace logistics, and general administrative oversight
¨ Help triage internal technology and systems-related requests, coordinating with IT support and assisting with troubleshooting when appropriate
¨ Assist with HR-related administration, including PTO tracking, timesheet revisions, benefits coordination, and employee communication
¨ Partner with leadership to identify operational improvements, workflow efficiencies, and process optimization opportunities
¨ Travel monthly to additional Texas office locations to support operational coordination and maintain strong relationships across teams
¨ Serve as a cross-functional liaison, helping resolve operational issues and maintain a positive, collaborative workplace environment

About You:
¨ 5+ years of Executive Assistant, Operations, Office Management, HR Coordination, Legal Operations, or high-level administrative experience preferred
¨ Previous experience supporting senior executives within a professional services or operationally driven environment required
¨ Exceptional organizational skills with the ability to manage multiple priorities and deadlines simultaneously
¨ Relationship-focused, approachable, and collaborative with strong interpersonal and communication skills
¨ Resourceful, proactive, and solutions-oriented with strong judgment and follow-through
¨ Comfortable operating in a fast-paced, entrepreneurial environment with evolving priorities and a hands-on culture
¨ High level of discretion and professionalism when handling confidential and sensitive information
¨ Strong written and verbal communication skills with a polished and professional demeanor
¨ Legal industry experience helpful, but not required
¨ Strong proficiency with Microsoft Office Suite, Slack, and comfort learning new technology
