Executive Assistant – Commercial Real Estate

Emerald Staffing is conducting a confidential direct-hire search on behalf of a highly respected and well-established commercial real estate firm based in downtown Portland. This organization is known for its collaborative culture, professionalism, and strong presence in the local market. The firm offers a stable environment with long-term growth potential.
Position Summary
The Executive Assistant will provide high-level administrative and transaction support to a fast-paced commercial brokerage team. This role is integral to managing real estate documentation, supporting marketing initiatives, and ensuring smooth transaction flow from start to finish. The ideal candidate is detail-oriented, highly organized, and comfortable handling confidential information in a deadline-driven environment.
Essential Job Duties
  • Prepare, edit, and proofread correspondence, reports, and presentations
  • Draft and coordinate transaction documents including LOIs, Listing Agreements, Representation Agreements, and Purchase & Sale Agreements
  • Manage transaction documentation from initiation through invoicing
  • Coordinate with internal marketing to create and update brochures, offering memorandums, pitch books, tours, maps, and property photos
  • Maintain client, prospect, and lease comp databases
  • Ensure quality control and confidentiality of sensitive materials
  • Manage calendars, meetings, and scheduling (Zoom and Microsoft Teams)
  • Conduct property research for reports and presentations
  • Coordinate signage orders and maintenance
  • Provide coverage for other assistants as needed
Requirements
  • Commercial real estate experience strongly preferred
  • Exceptional written and verbal communication skills
  • Strong organizational skills with keen attention to detail
  • Ability to manage multiple priorities and meet deadlines
  • Professional demeanor with high level of discretion
