Executive Assistant

NY Monda Window and Door, Inc. is seeking a hands-on Executive Assistant to provide high-level administrative support to senior leadership and coordinate key people-operations responsibilities across our four locations. This is a visible, trusted role for someone who is organized, discreet, proactive, and comfortable working in a fast-paced manufacturing business.
Who Will Thrive HereOur ideal candidate is a calm problem-solver and natural organizer who communicates confidently in English and Chinese, builds trust with employees at every level, and takes ownership from request through completion. You are comfortable shifting between an executive calendar, a hiring need, an employee question, an insurance matter, and a company event—while keeping details, deadlines, and confidentiality under control.
What You Will Own·      Executive support: Manage priorities, schedules, meetings, follow-ups, correspondence, documents, and special projects for senior leadership.
·      Communication and coordination: Serve as a professional liaison among executives, employees, candidates, clients, vendors, and business partners.
·      Recruiting and onboarding: Coordinate job postings, interviews, offers, new-hire paperwork, orientation, and onboarding follow-through.
·      People operations: Maintain employee records, HR documentation, policies, performance-management support, and routine employee-relations coordination.
·      Payroll and benefits support: Coordinate accurate information and deadlines with payroll, benefits providers, management, and employees.
·      Compliance support: Help keep company practices and records aligned with federal, New York State, and New York City employment requirements.
·      Company administration: Assist leadership with insurance, legal, vendor, and other sensitive administrative matters.
·      Culture and events: Organize team-building activities, off-site events, celebrations, and holiday gatherings across the company.
What Success Looks Like
TIMEFRAME | EXPECTED PROGRESS:
First 30 days | Learn our locations, leadership priorities, key employees, vendors, recurring deadlines, HR files, and operating routines. Establish a dependable system for calendars, follow-ups, and confidential records.
By 60 days | Independently coordinate recurring executive and people-operations workflows, improve visibility of open action items, and strengthen the consistency of recruiting and onboarding.
By 90 days | Become a trusted point of coordination who anticipates needs, closes loops, protects leadership time, and keeps important administrative and employee matters moving on schedule.
Ongoing | Recommend practical process improvements, maintain accurate records, support a positive workplace, and take ownership of special projects as the company grows.
Required Qualifications·      At least 3 years of Executive Assistant, senior administrative support, office management, or closely related experience, plus professional fluency in English and Chinese (Mandarin or Cantonese).
·      Excellent communication, organization, attention to detail, judgment, and follow-through, with the confidence to work with executives, employees, candidates, and outside partners.
·      Ability to prioritize competing demands, meet deadlines, work independently on-site, and handle confidential employee, legal, financial, and executive information with discretion.
Preferred Qualifications·      Experience supporting HR or people-operations activities, including recruiting, onboarding, employee records, payroll coordination, or benefits administration.
·      Working knowledge of New York employment practices and HR best practices.
·      Experience in manufacturing, construction, building products, distribution, or another operational environment.
·      A process-improvement mindset and comfort learning new software and systems.
Compensation and Benefits·      $55,000-$70,000 annual salary, depending on experience and qualifications.
