Job description

Legal Services of North Florida has anopening for an Executive Assistant in our Tallahasseelocation. Come work with great people who do hard work to better the livesof low-income and vulnerable individuals in our communities. Work independentlyand as part of a team to support the Executive Director and the functions of anon-profit law firm, with 140+ employees in eight offices across NorthFlorida.
The Executive Assistant is a highly responsible, professional administrative position that both supports and reports to the Executive Director. This role requires a candidate with extensive experience providing executive-level administrative support, ideally to senior leadership and/or C-suite executives. The ideal candidate will be proactive and highly organized, with the ability to anticipate needs, manage competing priorities, and operate with minimal direction. Discretion, sound judgment, and the ability to handle sensitive information are essential.
Candidates must demonstrate a high level of professionalism and strong communication skills, with the ability to work collaboratively across all levels of the organization and with external stakeholders. Preference will be given to candidates with experience working with a Board of Directors, in a law firm, or with a large community-based organization.
Responsibilities include:

  • Managing the Executive Director's calendar, including scheduling and prioritizing meetings and events
  • Preparing meeting materials, agendas, and follow-up documentation in advance of key meetings
  • Assisting in the coordination of internal and external meetings, conferences, and travel arrangements
  • Supporting the preparation and submission of grant documents and reports
  • Drafting and proofreading professional correspondence, memoranda, minutes, and related records
  • Serving as a liaison between the Executive Director and internal teams, external partners, and community contacts
  • Supporting high-level projects and initiatives as assigned
Qualifiedapplicants will possess:
  • Minimum of five years of experience in a high-level administrative role supporting executive leadership, C-suite team members, or senior decision-makers
  • Proven ability to work proactively, manage shifting priorities, and anticipate the needs of executive leadership
  • Exceptional written and verbal communication skills, with strong attention to grammar, tone, and professional correspondence
  • Professional demeanor with a demonstrated ability to handle sensitive information with discretion, sound judgment, and a strong sense of ethical responsibility
  • Proficiency with common office technologies and tools, including Microsoft Office Suite (Word, Excel, Outlook), cloud-based file storage systems, and standard office equipment (printer, scanner, copier)
Entrylevel salary of $45,000 is negotiable. Candidate with experience beyond the minimum qualifications may qualify for higher salary, depending on relevance of the experience.
