In thisย position,ย the Executive Assistant will supportย BarkleyOKRP'sย C-Level Executives. This person will be the supportive force that empowers our partners and theirย executiveย inย a timelyย and professional manner and should be well organized,ย hasย great timeย management skills, and be able to act without guidance. The ideal candidate is both approachableย & respectful, comfortable withย new technology, virtual meeting platforms, and scheduling systems, andย canย maintainย a realistic balance among multiple priorities. This person should also be able toย identifyย and address the needs of C-Level Executives and perform administrative tasks to ensure the workflow runs smoothly.ย ย 

RESPONSIBILITIESย 

  • Assist the C-Level Executive(s) with daily administrative duties and complete a broad variety of administrative tasks.ย 
  • Coordinate fast-paced, complicated scheduling and extensive calendar management, as well as administration of content and flow of information to C-Level executives.ย ย 
  • Work closely and effectively with C-Level Executive(s) to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately.ย 
  • Coordinate and book travel arrangements; air, transportation, and accommodation, as well as a place on the calendar & communicating those arrangements withย a high levelย of detail and follow-through.ย 
  • Demonstrate the ability to react withย appropriate levelsย of urgency to situations and events that require quick response or turnaround.ย ย 
  • Plan, coordinate, organize and help at various company/department meetings, events, and celebrations as needed.ย 
  • Have the ability to create and editย presentations,ย and materials.ย ย 
  • Be easily accessible for after-hour travel, scheduling, and other needs.ย 
  • Pick up deliveries and run errands as needed for both business andย personal.ย 
  • Prepare and complete expense and mileage reportsย in a timely mannerย and reconciliation.ย 
  • Complete timesheets; both billable/non-billable.ย 
  • Manage emails in the Executive's Inbox and respond on behalf of the Executive (multiple emails).ย 
  • Act as the point of contact among executives, partners, and other external partners.ย 
  • Manage information flow inย a timelyย andย accurateย manner.ย 
  • Must have strong written and reviewย skills, andย demonstrate ability in using Google Applications.ย ย 
  • Format information for internal and external communication.ย ย 
  • Prepare agendas and take minutes during meetings.ย 
  • Organize andย maintainย a digital filing system.ย 
  • Appropriately relayย important informationย promptly and clearly,ย maintainingย confidentiality as needed.ย 
  • Manage sensitive matters withย a high levelย of confidentiality and discretion.ย 
  • Maintain excellent communication and time management skills, with a proven ability to meet deadlines.ย 
  • Ability to function well in a high-pressure, fast-paced environment; performย additionalย duties as assigned by executives.ย 
  • Prioritize inquiries and requests while troubleshooting conflicts; make judgments and recommendations to ensure smooth day-to-day engagements.ย ย 
  • Provide hospitality to all guests andย help toย create a welcoming environment.ย ย 
  • Assistย with special projects/duties asย assigned for the overall benefit of the organization.ย ย 

QUALIFICATIONSย 

  • Proven work experience as an Executive Assistant supporting C-Level executives or similar roles (3+ย years experience).ย 
  • Tech-Savvy, withย proficiencyย in Google Applications and other office productivity tools, and ease of adoption with new software and systems.ย 
  • Experience exercising discretion and confidentiality with sensitive company information.ย 
  • Excellent organizational and time management skills, creative and willing to take on work independently and coordinate multiple projects at once.ย 
  • Excellent verbal and written communication skills.ย 
  • Strong ability to execute work withย a diversity, equity, and inclusionย lens.ย ย ย 
  • High degree of professionalism in dealing with diverse groups of people, including senior executives, partners, and external leaders.ย
