Executive Assistant

We are currently seeking a high-caliber Executive Assistant for a long-term basis within our client's team of experienced professionals. Based in remotely with travel to Arizona as required.

We are seeking a highly organized, proactive, and adaptable Executive Assistant to support our executive leadership team. This role is critical in enabling our leaders to operate efficiently in a fast-paced, mission-driven environment. The ideal candidate thrives in ambiguity, anticipates needs, and acts as a trusted partner to executives.

Job Requirements

  • Manage complex calendars, prioritize meetings, and coordinate scheduling across internal and external stakeholders

  • Organize travel arrangements, itineraries, and logistics

  • Prepare briefing materials, presentations, and meeting agenda

  • Track action items and ensure timely follow-ups

  • Support execution of key business initiatives and special projects

  • Conduct research on industry trends, competitors, and partnerships within the cleantech/energy sector

  • Assist in preparing board materials, investor updates, and executive communications

  • Serve as a liaison between executives and internal teams, partners, and investors

  • Handle confidential information with discretion and professionalism

  • Improve and streamline internal workflows, tools, and communication processes

  • Support company-wide meetings, offsites, and leadership events

  • Manage expenses, invoices, and budgets for executive activities

  • Maintain organized digital filing systems and documentation

  • Identify opportunities to increase efficiency and reduce administrative friction

Qualifications:

  • 3-7+ years of experience as an Executive Assistant or similar role

  • Strong organizational skills with exceptional attention to detail

  • Ability to manage multiple priorities in a dynamic environment

  • Excellent written and verbal communication skills

  • High level of discretion and professionalism

  • Proficiency in Google Workspace, Microsoft Office, and productivity tools
