OverviewReporting to the Executive Vice President of Resource, Drilling and EGS, the Executive Assistant II is responsible for supporting business and project management needs. The Executive Assistant II contributes to the efficiency of Ormat’s business by providing personalized and timely support to the SVP, including but not limited to, creating and managing calendars, generating meeting agendas and tracking action item assignments, creating presentations, working in Excel, and serving as the staff liaison for the needs of the SVP.

Responsibilities

  • Provide comprehensive support to the executive by actively managing tasks, anticipating needs, and ensuring efficient follow-through on responsibilities.
  • Acquire and maintain an in-depth understanding of Ormat’s business in order to knowledgably support the needs of the executive(s) and the business unit(s).
  • On behalf of the executive, manage and prioritize information flow and requests from various sources in a timely and accurate manner. Track, report, and follow-up on action items.
  • Manage executive’s complex, shifting calendar with multiple time zones, priorities, and stakeholders. Proactively identify and resolve scheduling conflicts and logistical needs.
  • Proactively manage priorities, deadlines, and workflows to alleviate the Executive's workload and ensure seamless operations. Take initiative to independently research, organize, and advance projects and assignments as far as possible before presenting to the Executive for review or final decisions; for example, reconciling credit card statements.
  • Support business unit(s) in planning and executing events and meetings, including drafting agendas, engaging stakeholders, and planning logistics.
  • Organize and manage executive’s travel scheduling and planning. With the support of Ormat travel services, ensure travel arrangements and subsequent adjustments are addressed in a timely manner. Prepare detailed itineraries and ensure contingency plans are addressed. Ensure compliance with travel visa requirements for the executive(s).
  • Attend meetings, manage and support agendas, take minutes, and track and follow-up on team action items.
  • Support executive by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Support business unit(s) management in the organization of planning and administrative tasks.
  • Format information for internal and external communication – memos, emails, presentations, reports. Make internal and external business presentations as requested.
  • Screen phone calls and emails, summarize information for decision-making.
  • Use and create tools for effective communication and organization, such as PowerPoint presentations and spreadsheets.
  • Practice the highest level of confidentiality to protect operations and maintain staff confidence.
  • Maintain a professional demeanor as a representative of Ormat and the Executive(s).
  • Serve as the point of contact among executives, employees, clients, and other external partners.
  • Handle administrative needs, such as tracking and reporting expenses.

Requirements

  • 5+ years of experience in an administrative or business support role. Experience supporting C-level executives a plus.
  • Bachelor’s degree preferred.
  • Microsoft Office Suite experience (for example: Teams, Outlook, Word, Excel, and/or PowerPoint).
  • Experience creating business presentations.
  • Experience administering dynamic calendar scheduling with competing demands.
  • Experience analyzing and assembling reports, including to distill and communicate relevant points.
  • Excellent communication and interpersonal skills.
  • Demonstrated organizational and time management skills.
  • Exhibit a professional demeanor.
  • Take initiative, anticipates needs, and works well with minimal supervision in a fast-paced organization with multiple priorities.

Physical Requirements
  • The ability to work at a computer, and computer monitor, and use repetitive motion for long periods of time.
  • The ability to occasionally lift up to 25 pounds.
  • This position requires sitting 80% of the time and standing and walking 20% of the time.
