Kratos Defense is seeking a highly organized, professional, and proactive Executive Administrative Assistant to support senior leadership within the Weapons & Defense Solutions (WDS) organization in Huntsville, Alabama.
This position provides high-level administrative and operational support to executive leadership by managing schedules, coordinating communications, organizing travel, preparing executive materials, and helping maintain efficient office operations in a fast-paced defense environment.
The ideal candidate is detail-oriented, adaptable, resourceful, and capable of handling sensitive information with professionalism and discretion. This role serves as a trusted partner to leadership and plays a critical role in enabling executive focus, organizational efficiency, and cross-functional coordination.
Essential Duties and Responsibilities
Executive Calendar & Schedule Management

  • Manage and coordinate complex executive calendars, appointments, meetings, and travel schedules
  • Prioritize scheduling conflicts and anticipate executive needs
  • Coordinate recurring leadership meetings, customer engagements, and internal reviews
  • Ensure executives are prepared for daily activities, meetings, and deliverables
Travel Coordination
  • Arrange detailed domestic and international travel itineraries
  • Coordinate flights, lodging, transportation, itineraries, and travel documentation
  • Process travel-related documentation and expense reporting in accordance with company procedures
Communication Management
  • Manage incoming communications including calls, emails, and correspondence
  • Act as a gatekeeper for executive priorities and time management
  • Facilitate timely responses and ensure effective communication flow across departments
Document & Presentation Preparation
  • Prepare, proofread, edit, and format executive correspondence, reports, presentations, and meeting materials
  • Support leadership with professional communications for internal and external stakeholders
  • Maintain accuracy, consistency, and confidentiality of executive documentation
Meeting & Event Coordination
  • Organize and coordinate leadership meetings, customer visits, staff events, and corporate functions
  • Prepare agendas, meeting notes, action items, and follow-up documentation
  • Coordinate logistics for conferences, offsite meetings, and executive events
Records & Information Management
  • Maintain organized electronic and physical filing systems
  • Ensure confidential handling and secure storage of sensitive information
  • Track action items, deadlines, and executive priorities
Cross-Functional Coordination
  • Serve as a liaison between executives, employees, customers, and external partners
  • Build professional relationships across functional teams
  • Support overall office efficiency and operational effectiveness
Required Qualifications
  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred
  • 5+ years of experience supporting executive leadership, senior management, or similar administrative roles
  • Strong organizational and time management skills with the ability to manage multiple priorities simultaneously
  • Excellent written and verbal communication skills
  • Demonstrated professionalism, discretion, and confidentiality
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams)
  • Experience coordinating executive travel and complex scheduling
  • Strong attention to detail and problem-solving skills
  • Ability to work independently with minimal supervision
  • Ability to thrive in a fast-paced, deadline-driven environment
