Job description

Overview
As the Executive Assistant to the Chief Strategy Officer (CSO), you are responsible for providing high-level administrative and operational support in a high-visibility, high-trust environment. This role requires exceptional judgment, attention to detail, discretion, and the ability to manage complex schedules, travel, and executive materials with precision.
Executive support is the primary focus of this role. In addition, you will provide project and task coordination support by tracking initiatives, maintaining transparency into work in progress, and following tasks through to completion, without owning full project management responsibilities.
What you will do
Executive Support
  • Serve as the primary administrative partner to the Chief Strategy Officer
  • Own and manage a complex, dynamic executive calendar across internal and external stakeholders
  • Maintain close, ongoing communication with the CSO to anticipate needs and adjust priorities in real time
  • Coordinate high-touch domestic and international travel, including flights, hotels, car services, dining reservations, and detailed itineraries
  • Prepare meeting agendas and materials in advance
  • Capture meeting notes, document decisions, and track action items with accuracy and follow-through
  • Draft, format, and proofread executive-level documents and correspondence
  • Serve as a professional point of contact for internal and external stakeholders
  • Handle sensitive and confidential information with discretion and sound judgment
Project & Task Coordination (Secondary Focus)
  • Maintain visibility into projects and initiatives in flight to support CSO priorities
  • Track tasks, deadlines, dependencies, and progress across teams
  • Follow up on action items to ensure timely completion
  • Provide clear, concise status updates to support executive decision-making
  • Organize and maintain documentation related to strategic initiatives
Technical Skills & Tools
  • Microsoft Outlook - advanced executive calendar management
  • Microsoft Excel - advanced proficiency including data manipulation, trackers, formulas, filters, and conditional formatting (no financial modeling required)
  • Microsoft PowerPoint - creation of polished, print-ready, client-facing presentations
  • Microsoft Word - professional document drafting and formatting
  • Microsoft Visio - basic proficiency for diagrams, workflows, or process visuals
  • CRM familiarity preferred; Salesforce experience is a plus
What you will bring
  • 5 + Years of executive-level administrative support experience, ideally supporting C-suite leadership
  • Demonstrated experience managing complex calendars and high-touch travel
  • Advanced Excel and PowerPoint skills with strong attention to detail
  • Exceptional written and verbal communication skills
  • Proven discretion in handling confidential information
  • Strong organizational skills and ability to adapt in a fast-paced environment
Availability & Flexibility
This role, in supporting senior leadership and client-facing initiatives, may occasionally require flexibility outside typical business hours. These needs are generally known in advance and tied to projects or travel, rather than unexpected or ongoing after-hours work. Candidates should be aware of this expectation and comfortable exercising a reasonable degree of flexibility when needed.
What Success Looks Like in This Role
  • The CSO's schedule and travel run smoothly even amid frequent changes
  • Meetings are well-prepared, documented, and followed by clear action items
  • Excel trackers and documents are accurate, clear, and reliable
  • PowerPoint materials are consistently polished and client-ready
  • Projects in flight are transparent and followed through to completion
For California, Colorado, and New York applicants, the pay range is $60,000 to $80,000
What we offer
  • Competitive payrates based on skills and experience
  • Extensive benefits package: Medical, dental, vision, HSA, mental health programs, Employee Assistance Program, short term disability, voluntary insurance (LTD, auto, home, life, legal, pet, identify theft), employee discounts
  • Rest and relaxation: Paid holidays and generous PTO based on tenure
  • Community and Philanthropy: Paid volunteer time
  • Paid Maternity and Parental Leave
  • Contribute to your future: 401K plan and robust continuous learning opportunities
  • Work Perks Program: Access to discounts that help save money in your daily life
