About the Job
About Us:
Integrated Autism Centers provides high-quality autism diagnostic and therapy services to children and families. We're looking for a sharp, dependable Executive Assistant to work directly alongside our owner and help run the business day to day.
The Role:
This is a high-trust, full-time position for someone who can juggle administrative, operational, and outreach responsibilities. You'll be a true right hand - keeping insurance processes moving, supporting our team, and helping grow the practice through relationships with referring providers. The ideal candidate is organized, proactive, personable, and comfortable owning responsibilities with minimal hand-holding.
Key Responsibilities:
  • Insurance Authorizations: Submit, track, and follow up on insurance authorizations and reauthorizations; communicate with payers and resolve issues to keep services uninterrupted.
  • Staff Management: Support day-to-day management of staff, including scheduling, communication, and helping ensure the team has what it needs to do their jobs well.
  • Hiring & Onboarding: Assist with recruiting, interviewing, onboarding, and - when necessary - offboarding employees.
  • Marketing & Outreach: Visit pediatrician offices, testing centers, and other referral sources to build relationships and represent Integrated Autism Centers in the community.
  • Executive Support: Manage calendar, communications, and ad hoc projects for the owner; keep priorities on track and details from slipping.
What We're Looking For:
  • Strong organizational and follow-through skills; able to manage multiple priorities at once.
  • Excellent written and verbal communication; comfortable interacting with families, staff, providers, and insurance companies.
  • Professional, friendly presence - especially for in-person outreach to medical offices.
  • Discretion and reliability when handling sensitive and confidential information.
  • Experience in healthcare, insurance authorizations, ABA/autism services, or office management is a strong plus.
  • Valid driver's license and reliable transportation for local office visits.
