Job Summary: MUST HAVE A MINIMUM OF 5 YEARS EXPERIENCE IN ASSOCIATION
We are seeking a dynamic and experienced Executive Director to lead our national transportation association. The ideal candidate will have over 5 years of experience in association management and demonstrate exceptional skills in financial operations, communications, and organizational leadership. This role is vital in managing the daily operations of the association, ensuring compliance with financial and administrative standards, and fostering strong relationships with stakeholders to advance our mission.
Key Responsibilities: Accounting & Financial Management:
- Maintain and execute full-cycle accounting duties with accuracy.
- Code and enter vendor expense invoices, ensuring compliance with company policies and procedures.
- Process accounts receivable, generate client invoices, and manage collections.
- Prepare and organize financial reports, schedules, and statements with advanced knowledge of account relationships.
- Ensure the accuracy of all general ledger transactions and compliance with tax regulations, including preparing monthly and quarterly tax statements.
- Collaborate with internal and external stakeholders to manage financial matters and establish credibility.
Leadership & Administration:
- Provide strategic guidance and operational oversight for all association activities.
- Build and maintain strong working relationships with the board of directors, members, and external partners.
- Manage internal communications to ensure collaboration across all departments.
- Serve as the primary liaison to external IT, web hosting, and other support services.
Marketing & Communications:
- Develop and implement marketing strategies, including campaigns on social media platforms like Facebook, Twitter, LinkedIn, and Constant Contact.
- Oversee website updates and maintenance using Wix.
- Create and manage marketing materials using Canva and other design tools.
- Facilitate member engagement through Your Membership and Apricot platforms.
Event & Meeting Planning:
- Plan and execute association events, meetings, and conferences.
- Coordinate logistics and communication for in-person and virtual gatherings.
Technology Management:
- Maintain a working knowledge of IT systems to effectively coordinate with external IT support teams.
- Leverage association management software to enhance operational efficiency and member engagement.
Qualifications:
- Minimum of 5 yearsโ experience in association management, public relations, marketing, or communications.
- Bachelorโs degree in Association Management, Marketing, Communications, or a related field, or equivalent experience.
- Exceptional oral and written communication skills.
- Proven ability to manage multiple priorities, meet deadlines, and maintain attention to detail.
- Proficiency in MS Office (Publisher, Excel, Word), Wix, Canva, and association management platforms such as Your Membership and Apricot.
- Experience with payroll processing is a plus.
- Strong interpersonal skills with the ability to foster collaboration among diverse stakeholders.
