Homes by C.M. Watson is seeking a proactive Executive Assistant and Office Manager to support the Owner and help coordinate the company's day-to-day office operations. This is more than a traditional administrative position. The right person will help organize priorities, manage follow-ups, create accountability, anticipate needs, and ensure important commitments do not get lost in a busy construction environment.


The ideal candidate is comfortable supporting an owner who manages multiple projects and frequently changing priorities, can turn conversations into clear action items, and knows how to follow through without constant supervision. Construction experience is helpful but not required. Strong organization, judgment, technology skills, and the desire to become an expert in the company's systems are more important.


Key Responsibilities

  • Manage the Owner's calendar, appointments, meetings, priorities, and follow-up items.
  • Help translate ideas, conversations, and commitments into organized tasks and deadlines.
  • Provide respectful accountability and ensure priority items continue moving forward.
  • Prepare meeting agendas, capture notes, assign action items, and monitor completion.
  • Organize email communications, documents, files, and company information.
  • Coordinate internal and external meetings with employees, clients, vendors, and professional partners.
  • Support general office operations and maintain an organized, professional work environment.
  • Receive deliveries, greet visitors, and serve as a dependable point of contact at the Fishers office.
  • Prepare, format, and organize reports, presentations, spreadsheets, and correspondence.
  • Coordinate information between ownership, design, production, estimating, accounting, and HR.
  • Participate in company meetings to remain informed about projects and business priorities.
  • Learn Buildertrend thoroughly and help the team understand software improvements and updates.
  • Improve administrative processes, templates, systems, and standard operating procedures.
  • Protect confidential business, employee, client, and financial information.
  • Anticipate needs and complete recurring responsibilities without waiting to be reminded.

Qualifications

  • Previous experience as an Executive Assistant, Office Manager, Administrative Coordinator, or similar position.
  • Exceptional organizational, prioritization, and follow-through skills.
  • Ability to support a busy executive with multiple projects and competing priorities.
  • Able to ask clarifying questions, request timely decisions, and follow up professionally on outstanding action items.
  • Ability to provide proactive administrative support while respecting decision-making authority and professional boundaries.
  • High level of integrity, discretion, reliability, and professional judgment.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office 365, including Outlook, Word, Excel, and Teams.
  • Comfortable learning Buildertrend and becoming an internal resource for company software.
  • Willing to use company-approved AI, automation, and digital tools in accordance with confidentiality, data-security, and company-use policies.
  • Ability to work independently and identify what needs to happen next.
  • Construction, design-build, remodeling, or professional-services experience is helpful but not required.
  • This position does not directly manage accounts payable, accounts receivable, or bookkeeping.

Pay and Benefits

  • Full-time, W-2 Employment
  • Annual salary of $60,000-$75,000, based on executive-support experience, organizational ability, and qualifications.
  • Long-term opportunity to become a trusted and influential member of the company's leadership support team.
  • Schedule: Monday through Friday, 9:00 AM to 5:00 PM. Occasional additional hours may be required for meetings or business needs.
