Greencroft Communities - Goshen, IN (Onsite Position)

Greencroft Communities is looking for an experienced Executive Assistant to work alongside our Vice President of Operations. This role combines organization, communication, problem-solving, and relationship-building. You’ll help manage priorities, keep important conversations and projects moving, and create greater connection among the Vice President, leadership team, residents, and others across the organization.

No two days will look exactly the same. One day may include coordinating a full calendar and preparing materials for an upcoming meeting. The next may involve tracking action items, edit an important communication, or help organize a strategic initiative. Throughout it all, you’ll be a trusted partner who brings consistency, good judgment, discretion, and a calm, professional approach to the work.

Schedule: Monday-Friday, 8:00 AM-5:00 PM

Meeting the expectations of this position requires work beyond forty (40) hours per week but typically will not exceed fifty (50) hours per week.

Your Role on the Team

As our Executive Assistant, you will:

  • Manage the Vice President’s calendar, appointments, and meetings, ensuring priorities are addressed in a timely manner.
  • Stay one step ahead by anticipating needs, priorities, and potential scheduling challenges.
  • Serve as a professional liaison between the Vice President, leadership team, and residents.
  • Take accurate meeting minutes and track action items to support follow-through.
  • Prepare and edit reports, correspondence, presentations, and other professional documents.
  • Protect confidential and sensitive information while using sound judgment about what should be communicated and to whom.
  • Support special projects, strategic initiatives, and organizational priorities.
  • Help strengthen communication and collaboration among leaders and teams.
  • Build positive working relationships with residents, team members, leaders, and organizational partners.
  • Look for thoughtful ways to improve processes, organization, and efficiency.
  • Provide additional support to Greencroft Communities as needs and priorities evolve.

What You’ll Bring

We’re looking for someone who brings strong administrative experience along with a professional, people-centered approach to the role.

  • Three to five years of executive assistant or comparable high-level administrative experience is desired.
  • Exceptional organizational and time-management skills.
  • Strong critical-thinking and problem-solving abilities.
  • Confidence managing multiple priorities, changing needs, and important details.
  • Proficiency with Microsoft applications and the ability to work comfortably across multiple software systems.
  • Clear, polished written and verbal communication skills.
  • Strong proofreading and editing skills; copy-editing experience is preferred.
  • Professional telephone and customer-service skills.
  • Strong interpersonal skills and the ability to build positive working relationships.
  • Discretion and sound judgment when working with confidential or sensitive information.
  • The ability to determine what information should be communicated, when it should be shared, and with whom.
  • The initiative to anticipate needs and move work forward with minimal direction.
  • Experience in senior living or a Continuing Care Retirement Community is a plus.
