Job description

Our client, a global business and technology firm, is looking for an Executive Assistant who is highly organized, detail-oriented, and who anticipates their executives' needs. This Executive Assistant will support two C-level executives. This role focuses on calendar management, travel coordination, and expense processing, with occasional support for team recognition and events.


Location: Remote- Seattle - EST time zone

Length of Assignment – 4+ months

Compensation - $60-65 Hourly

Additional Compensation: This position is not eligible for bonus or incentive compensation.

Overview

We are seeking a highly experienced Executive Assistant to provide executive support to two C-level executives on a temporary contract assignment covering a maternity leave. This is a high-visibility opportunity with an anticipated start in September, although an earlier start may be available for the right candidate.


This role requires a polished, proactive professional who thrives in a fast-paced environment supporting senior leadership. The ideal candidate has extensive experience partnering with executive teams, managing complex priorities, and serving as a trusted advisor while maintaining the highest level of professionalism and discretion.


Key Responsibilities

  • Provide high-level administrative support to two C-suite executives.
  • Manage complex calendars across multiple time zones, balancing competing priorities and resolving scheduling conflicts.
  • Coordinate domestic and international travel, including detailed itineraries, accommodations, and logistics.
  • Serve as a primary point of contact for executive communications with internal and external stakeholders.
  • Prepare presentations, agendas, executive briefings, reports, and meeting materials.
  • Attend meetings, capture notes, track action items, and ensure timely follow-up.
  • Support strategic initiatives through research, reporting, and data analysis.
  • Build strong relationships with executive leadership, senior business partners, and cross-functional teams.
  • Process expense reports and manage day-to-day executive administrative responsibilities.
  • Coordinate executive meetings, leadership events, off-sites, and team activities.
  • Assist with budget tracking, reporting, and executive office administration.
  • Identify opportunities to improve processes and increase operational efficiency.
  • Provide backup support for other Executive Assistants as needed.
  • Collaborate across departments to ensure seamless communication and execution of priorities.


Required Qualifications

  • 10+ years of Executive Assistant experience supporting senior executives.
  • Experience supporting C-level executives within large enterprise organizations.
  • Ability to work Eastern Time business hours.
  • Extensive experience managing complex executive calendars and travel.
  • Outstanding organizational, prioritization, and project coordination skills.
  • Exceptional written and verbal communication abilities.
  • Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Copilot.
  • High level of professionalism, discretion, and confidentiality.
  • Ability to manage multiple executives and competing priorities simultaneously.
  • Self-starter with excellent judgment, problem-solving skills, and the ability to anticipate executive needs.


Preferred Qualifications

  • Bachelor's degree in Business Administration, Communications, Program Management, or a related field.
  • Experience partnering closely with Chiefs of Staff or senior executive leadership teams.
  • Experience supporting multiple C-suite executives simultaneously.
