Executive Assistant to the CEO

Trinity Social Services

Atlanta, GA โ€ข On-site

$35 - $40/hr

Contractor

Posted 22 days ago

Job description

## About the Role
Trinity Social Services is an Atlanta-based behavioral health organization providing IOP, PHP, and outpatient programs. This is not a traditional calendar-and-coffee assistant role - you will function as the CEO's operational presence on the ground in Atlanta, executing independently while she is abroad and working side by side with her during her in-person sprints.
The right candidate is a self-directed operator who treats ambiguity as a to-do list. You will be trusted with significant autonomy from day one.
## What You'll Own
**Ground Operations (Atlanta)**
- Serve as the CEO's eyes, ears, and hands in Atlanta: site visits, vendor meetings, document pickups, errands requiring physical presence
- Preview residential properties, coordinate with realtors and leasing offices, and report back with photos, video walkthroughs, and candid assessments
- Manage the CEO's Atlanta logistics: vehicle, storage unit, mail, appointments
**Business Support**
- Support audit and accreditation preparation (CARF survey scheduled Oct-Nov 2026): document gathering, scheduling, vendor and surveyor coordination
- Coordinate event logistics, including vendor booths and materials for conferences and expos
- Liaise with Trinity staff, contractors, and external partners; track follow-ups to completion
- Manage calendar, email triage, travel booking (domestic and international), and expense tracking across time zones
**Special Projects**
- Support book launch logistics for the CEO's forthcoming memoir: shipping, event coordination, media scheduling
- Assist with recruiting support: posting roles, scheduling interviews, reference checks (including household staff searches such as childcare)
- Build and document repeatable processes so the operation runs without daily CEO input
## Who You Are
- 4+ years supporting a C-level executive, founder, or business owner - small-business or founder-led environments strongly preferred over large corporate
- Based in metro Atlanta with reliable personal transportation; comfortable being out in the field, not desk-bound
- Exceptional written communicator - you will often be the CEO's voice in emails and messages
- Comfortable working asynchronously across time zones (Atlanta โ†” Accra is a 4-hour difference) with high independence between check-ins
- Discreet and trustworthy - you will handle confidential business, financial, and family matters; background check and references required
- Bonus: experience in healthcare/behavioral health, familiarity with accreditation or compliance processes, or notary certification
## Compensation & Structure
- Alternative structure available: contract-to-hire at $35-$40/hr for a 60-90-day trial period, 20- 30 hrs a week
- Hybrid: remote coordination + regular in-person presence in Atlanta as needed
- Performance review and scope expansion at 90 days, with growth path toward Business Operations Lead
## How to Apply
Submit a resume and a short cover note (5-10 sentences, not a formal letter) answering: **"Describe a time you ran something important without being told how."** Applications without the note will not be reviewed.
Full-Time | Reports directly to the CEO**
