Essential Functions and Responsibilities
SUMMARY
As an executive assistant, you will provide high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions, such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. You may also train and review the work product of administrative staff. The Executive Assistant should overall ensure the efficient and smooth day-to-day operation of our office.
Office Management - These responsibilities involve training and supporting the work of clerical and other administrative employees, as well as making sure that everything is in place for the office to function smoothly. Tasks range from keeping up with office supply inventory, negotiating contracts and purchasing agreements, ensuring the order and cleanliness of all building public spaces (conference rooms, breakrooms, vacant offices etc) organizing office spaces for maximum efficiencies, clerical duties as necessary and overseeing the operation and maintenance of all office equipment.*
Communication Liaison- Responsible for ensuring successful daily flow of correspondence (IE: daily mail delivery, emails, faxes, service tickets and verbal requests).*
Schedule Management- Schedule all meetings, appointments and travel for executive staff, including prioritizing meetings and communicating all relevant details to participants. Primarily CEO and CBDMO or others as requested.*
Maintain Contact Databases- Coordinate and maintain records including current and past clients, projects, vendors etc. Coordinate and resolve requests for information and *
Event Management- Support corporate functions by maintaining an agency event calendar, managing registrations, invitations to events, maintaining and providing catering services for internal meetings, set up and break down of corporate functions, researching additional event spaces and functions for attendance.*
Act in the capacity as a back-up Answer telephones and direct the caller to the appropriate extension. Greet, sign in, and direct visitors as needed.
Support Marketing function in tasks like apparel ordering, event planning and employee badge processes.
Data Analysis - The executive assistant is often involved in data analysis, using a combination of computer and critical thinking skills. For example, financial reporting, occupancy reporting and property metrics, vendor contract comparisons and various front desk time analysis reports.*
Information Preparation- Responsible for preparing and formatting information for internal and external distribution. This may include writing letters and memos, compiling data for reports, creating computerized presentations, writing reports, creating contracts for business, maintaining agenda, transcribing dictation and meeting notes, editing, proofreading and other information preparation duties. *

Executive assistant is in a position of being privy to information that must be protected, so being able to maintain confidentiality and exercise discretion is essential for success in this role. *

EDUCATION and/or EXPERIENCE
Bachelor's Degree (B.A. or B.S.) with two (2) years related experience; or an Associate's Degree (A.A. or A.S.) with four (4) years related experience; or High School diploma or general education degree (GED) with six (6) years related experience; or equivalent combination of education and experience.
