Job Description
WHAT YOU'LL DO
We are seeking an experienced and highly organized Executive Assistant to provide comprehensive administrative support to our top-level executives. The ideal candidate will manage a wide range responsibilities across multiple executives with discretion, strong organizational skills, and a customer service orientation.
DAY-TO-DAY RESPONSIBILITIES
Administrative Support:
  • Manage calendars, meetings, travel arrangements and expenses for multiple executives.
  • Prioritize and screen incoming communications, relaying urgent matters in a timely manner.
  • Prepare, edit and format executive documents, presentations, and reports.

Meeting Coordination:
  • Organize and coordinate meetings, including agenda preparation, meeting materials, and follow-up actions.
  • Attend and record minutes during key meetings as requested.
  • Ensure meeting logistics and technology are well arranged.

Data and Information Management:
  • Maintain and update confidential files, records, and department-related documents.
  • Manage the executives' vendor list, budget, ensuring accurate and up-to-date information.
  • Handle confidential and sensitive information with discretion.

Communication and Correspondence:
  • Act as a primary point of contact for internal and external stakeholders, including team members, executives, and external partners.
  • Draft and proofread emails, reports, and other written communication on behalf of the executives. Add graphic elements to enhance marketing and professionalism.

Event Planning:
  • Assist team members with planning events, such as workshops, seminars, and conferences.
  • Arrange logistics, catering, and materials as needed.

Budget Management:
  • Assist in tracking and managing budgetary items, including expenses and cost approvals.
  • Maintain financial records and reports for department-related expenditures.

Qualifications
WHAT WE ARE LOOKING FOR
MUST HAVES:
  • Bachelor's degree in business administration, or a related field preferred.
  • 5+ years of executive assistant or administrative support experience, with experience supporting senior executives.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Strong customer service skills.
  • Proficiency in office software and communication tools, including Microsoft Office Suite.
  • Discretion and the ability to maintain strict confidentiality.
  • Attention to detail and problem-solving abilities.
  • Ability to work independently and manage competing priorities.
  • Ability to be nimble and flexible to shift focus as needs arise.

NICE TO HAVE:
  • Experience supporting Executive level leaders at a high growth fast paced company.
  • Experience organizing employee centered events.
  • Experience with graphic design to enhance presentations and employee communications preferred (I.e., experience with Canva, Venngage, etc.)

Salary Range: $90-105K
Location: Hybrid (on-site Tuesday, Wednesday, Thursday)
