Executive Assistant – Administrative Team

📍 Location: Seattle, WA — Fully On-Site

💰 Pay Rate: $25–$30/hour on W2

📄 Duration: 6+ Month Contract

🔄 Potential: Opportunity for extension and/or conversion

Position Summary

We are seeking a highly organized and adaptable Executive Assistant to join a collaborative administrative team supporting a fast-paced organization during a period of increased business activity.


Unlike a traditional EA role, this position will not be dedicated to one specific leader. Instead, you will provide flexible support across the broader EA organization, helping with executive calendar coverage, administrative projects, event logistics, and other priorities as business needs evolve.

This is an excellent opportunity for an experienced EA who enjoys variety, can quickly shift priorities, and is comfortable working in an environment where no two days look exactly the same.


Key Responsibilities

  • Provide executive calendar coverage during leaders' and EAs' out-of-office periods.
  • Support the broader EA team with administrative projects and initiatives.
  • Assist with planning and coordinating large meetings, events, team gatherings, and happy hours.
  • Provide on-site logistical support, including room setup, catering, materials, and event coordination.
  • Help coordinate planning activities surrounding major organizational events.
  • Partner with EAs and internal stakeholders to ensure administrative needs are handled efficiently.
  • Manage multiple priorities and adjust responsibilities based on changing business needs.
  • Step in where additional administrative support is needed across the organization.
  • Maintain a high level of professionalism, discretion, organization, and attention to detail.
  • Take ownership of assigned tasks and follow through with minimal supervision.


Qualifications

  • Previous experience as an Executive Assistant, Administrative Assistant, or similar administrative professional.
  • Experience supporting executives, senior leaders, or a large administrative team preferred.
  • Strong calendar management and scheduling skills.
  • Excellent organizational and time-management abilities.
  • Strong written and verbal communication skills.
  • Comfortable working in a fast-paced environment with shifting priorities.
  • Ability to work independently while also collaborating effectively with a large administrative team.
  • Strong attention to detail and follow-through.
  • Comfortable providing hands-on, on-site support for meetings and events.
  • Proficiency with Microsoft Office and common workplace productivity tools.
