Role/ Department: Executive Assistant/Corporate Marketing and Communications
The Corporate Marketing & Communications Executive Assistant plays a crucial role in supporting our dynamic and busy team. In this creative environment, you will be primarily responsible for providing seamless support to the Chief Marketing Officer as well as having the opportunity to work with a diverse group of creative professionals with different areas expertise who work collaboratively to contribute to the success of our company. Under general supervision (but works independently most of the time) responsible for providing administrative services to support to senior management/executives.
The key responsibilities of the role include:
• Manage executives complex daily calendar management including meetings, appointments, conferences and outside engagements
• Organize group and departmental meetings, including scheduling, sending reminders and coordinating needed support (e.g. AV, catering, location)
• Coordinates travel arrangements for domestic and international travel and prepares travel itineraries
• Monitors e-mails, screens telephone calls and visitors and provides general assistance
• Prepares internal and external correspondences, reports and PowerPoint presentations. Maintains confidentiality of correspondence records, presentations and reports in a filing system
• Communicates and acts as a liaison between the external or internal executives, managers and clients in coordinating meetings, responding to inquiries and/or special requests
• Handles finance and expense management for the senior management/ executive such as invoices, expense processing, etc.
• May transcribe notes for senior management/executives
• May have direct interaction with committees and/or Senior Management/Executives
• Prioritizes and handles multiple projects with accuracy
• Delivers a work product that requires less revision
• Able to facilitate discussions and reach decisions
Skills/Qualifications:
• Prior experience supporting at the executive level is required
• Excellent oral and written communication skills are required
• Functional / Industry Knowledge is required
• Analytical and problem-solving skills are required
• Technical skills /office software knowledge (e.g. Windows operating system, Microsoft Office 365 products, Adobe Acrobat) is required
• Ability to meet the current hybrid model/onsite requirement of 3 days a week (M, T, W)
• A College or University degree is preferred.

Salary Range:
$61,500 - 98,300 USD
Salary range is a good faith estimate of base pay. Northern Trust provides a comprehensive benefits package including retirement benefits (401k and pension), health and welfare benefits (medical, dental, vision, spending accounts and disability), paid time off, parental and caregiver leave, life & accident insurance, and other voluntary and well-being benefits. Northern Trust also provides a discretionary bonus program that may include an equity component.
