Job Title: Personal Assistant to CEO

Position Type: Full-time, hourly
Compensation: $45-55 p/ hr
We are seeking a highly organized, discreet, and proactive Personal Assistant to support a CEO across professional, personal, and household matters. This role requires exceptional judgment, flexibility, emotional intelligence, and the ability to operate in a fast-paced, high-expectation environment with absolute confidentiality.
The ideal candidate is detail-oriented, resourceful, calm under pressure, and experienced managing complex schedules, travel, communications, and lifestyle logistics.
Key Responsibilities
Executive Support
  • Manage complex calendars, scheduling, and meeting coordination across multiple time zones
  • Prioritize and respond to communications on behalf of the CEO when appropriate
  • Coordinate business appointments, conferences, and executive events
  • Prepare agendas, briefing materials, expense reports, and follow-up items
  • Serve as gatekeeper and liaison with executives, investors, advisors, and external partners

Personal & Lifestyle Management
  • Coordinate personal appointments, reservations, and household schedules
  • Oversee luxury travel arrangements including flights, hotels, ground transportation, visas, and itineraries
  • Manage gifting, special events, and personal logistics
  • Handle personal shopping, sourcing, and vendor coordination
  • Support relocation, property oversight, and residence management as needed

Administrative Operations
  • Maintain confidential files, records, and sensitive information
  • Own the management and operations of business office; coordinating with cleaning company, stocking and ordering supplies
  • Process invoices, reimbursements, and basic bookkeeping support
  • Conduct research and prepare summaries or recommendations
  • Create systems and workflows to improve organization and efficiency
  • Assist with special projects and ad hoc requests with urgency and professionalism
