Executive Assistant

Aspire Senior Living is seeking a Full-Time Executive Assistant to join our Corporate Office team in Independence, MO. The Executive Assistant plays a vital role in creating a positive first impression while providing high-level administrative and communication support within the corporate office. This Executive Assistant position works closely with the Management Team, including Finance, Clinical, and Operations—to support day-to-day office operations and ensure effective coordination across departments, and reports directly to the Chief Operating Officer (COO). The Executive Assistant is expected to handle sensitive information with discretion, demonstrate strong organizational skills, and anticipate the needs of leadership.

Key Responsibilities:
  • Provide comprehensive administrative support to executive leadership and the Management Team
  • Manage executive calendars, schedule meetings, and coordinate travel arrangements
  • Prepare and distribute correspondence, reports, presentations, and meeting materials
  • Serve as a primary point of contact between executives, internal teams, and external partners
  • Coordinate meetings, take minutes, and track follow-up action items
  • Assist with special projects and cross-functional initiatives as assigned
  • Maintain organized electronic and paper filing systems
  • Handle confidential and sensitive information with professionalism and discretion
  • Support office operations, including vendor coordination and office supply management
  • Promote effective communication and collaboration across Finance, Clinical, and Operations teams
Minimum Requirements, Abilities & Expectations:
  • Experience in an executive or administrative role, preferably in a healthcare or senior living setting.
  • High school diploma or equivalent required; some college or degree preferred
  • Proficiency in Microsoft Office Suite, Google Suite, and other productivity software
  • Excellent communication, organizational, and interpersonal skills
  • Ability to maintain confidentiality and handle sensitive information
  • Strong attention to detail and ability to prioritize tasks
  • Willingness to learn and adapt to new tasks and technologies
  • Strong communication skills, both verbal and written, with the ability to interact professionally with diverse individuals.
  • Excellent customer service skills, with a friendly and welcoming demeanor and a commitment to resident satisfaction.
  • Proficiency in basic computer skills, including Microsoft Office applications (e.g., Word, Excel, Outlook)
  • Ability to multitask, prioritize tasks, and manage time effectively in a fast-paced environment.
  • Attention to detail and accuracy in performing administrative tasks, maintaining records, and handling confidential information.
  • Ability to work in office at our Independence corporate office location.
