Executive Operations Manager & Assistant to the CEO

Job Summary:

The Executive Operations Manager & Assistant to the CEO provides high-level administrative support to the Chief Executive Officer by managing a complex schedule of board governance, fundraising, community engagement, travel, and organizational priorities while overseeing day-to-day office operations. The role also provides administrative support for approved cross-functional initiatives โ€“ including office operations, people and culture, and systems-related projects under the direction of the Senior Director of Systems Strategy & Organizational Effectiveness โ€“ to help ensure organizational priorities remain coordinated, efficient, and well supported through documentation, process improvement, technology, and administrative coordination.

Administrative Support for CEO โ€“ 40%
  • CEO calendar, scheduling, activities and communication flow are optimized and efficient.
  • Strategic and collaborative executive communications in partnership with CEO and VP of Marketing
  • Administrative, presentation and scheduling preparation of CEO internal and external meetings
  • Meeting deadlines, proactively seeking out areas of improvement and ways to increase efficiency.
  • Delivery of high quality and accurate work.
  • Timely responsiveness.
Administrative Support for Board of Directors โ€“ 10%
  • Board operations are seamless, timely and well organized.
  • Oversee all logistical and technology functions for all Executive Board and board-at-large related activity.
  • Provide Basecamp training for all Executive Board committee leads.
  • Delivery of high quality and accurate work.
Office Management and Operations โ€“ 50%
  • Office operations inspire a positive and productive work environment.
  • Internal and external stakeholders experience professional and timely interactions.
  • Operational systems and processes show measurable improvement in efficiency and effectiveness.
  • Office supplies, vendors, facilities, and administrative services are managed accurately, efficiently, and within budget.
  • Administrative documentation, templates, and standard operating procedures are maintained and updated as needed.
  • Light assigned administrative support for Salesforce, Matchforce, gift entry, donor/alumni engagement, and other approved cross-functional initiatives is completed accurately and on schedule.
  • Administrative workflow improvements and approved automation opportunities are documented, implemented, and maintained where appropriate.
  • Internal requests are managed through established processes and service expectations.
  • Delivery of high-quality, accurate, and timely work.

Contribute to team effort by accomplishing other duties as assigned.
