Job description

Executive AssistantWe're seeking an Executive Assistant to support the Executive team based in our company headquarters in Boston. This position is Contract 2 Hire.

Responsibilities:

Calendar management, travel arrangements, expense reporting, drafting correspondence, and meeting coordination.

Effectively prioritize the needs of the Executive office, manage competing requests and negotiate prioritization of administrative activities.

Participation in ad-hoc special projects, screening calls and meeting requests.

Arrange travel proactively considering destination events to ensure on-time arrival.

Manage executives time and bandwidth by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating communications.

Manage incoming correspondence and prioritize competing requests; filter through requests independently and follow through on behalf of executive as needed.

Proactively manage the support team's time and work prioritization to most effectively meet the needs of the Executive office.

Qualifications:

Bachelor's degree required with 3-5+ years of related experience supporting C-level executives.

Exceptional time management, organizational skills, and attention to detailExperience managing multiple schedules, facilitating travel and processing expense reportsHigh level of professionalism with ability to handle sensitive and confidential informationSuperb written and verbal communication skillsProficient in Office 365, including Word, Excel, Outlook, PowerPointCommercial real estate or construction industry experience a plus
