What Will You Do?
The Executive Assistant will be responsible for managing multiple projects simultaneously, identifying, and mitigating project risks and issues, communicating project status updates to stakeholders, and assisting with the development and implementation of policies, procedures, and standards. The successful candidate will need to have strong project management skills, excellent communication skills, and the ability to prioritize tasks and meet deadlines.
Primary Responsibilities
  • Provide administrative support to the department's senior leadership team.
  • Coordinate and manage projects, from initiation to closure.
  • Identify and mitigate project risks and issues.
  • Work with project teams to develop project schedules and manage project budgets.
  • Communicate project status updates and deliverables to stakeholders.
  • Coordinate travel for SVP and/or executive team.
  • Coordinate meeting and invite correspondence for SVP and executive team.
  • Maintain Office Seating Chart.
  • Host Meetings occasionally.
  • Maintain Contractor Resource Roster.
  • Maintain Contractor User Accounts in Ashley Systems, including global contractors.
  • Prepare monthly Labor vendor billing files.
  • Ensure Vendor invoices are accurate, and timesheets are approved.
  • Sending out DAILY and Weekly communications to store managers and confirming information for tech installations.
  • Keeping track of the Migration Schedule and making any necessary changes with the Store and/or office.
  • Assist with the development and implementation of policies, procedures, and standards.
  • Assist with the preparation and management of budgets and financial reports.
  • Support Invoice Approvals by reassigning, rejecting, coding, and/or pre-approving.
  • Availability to cover front desk reception, if needed.
  • Demonstrate the Company's Core and Growth Values in the performance of all job functions.

Job Qualifications
  • Minimum of 5 years' experience in an Executive Assistant role, preferably supporting SVP and higher titles.
  • Bachelor's Degree and Equivalent work experience required.
  • Budgeting and financial management.
  • Willingness to travel domestically, on occasion.
  • Flexible & willing to work extended hours, when needed.
  • Strong project management skills, including the ability to manage multiple projects simultaneously.
  • Excellent communication skills, both verbal and written, with the ability to communicate effectively with all levels of the organization.
  • Strong analytical and problem-solving skills.
  • Organizational skills, with the ability to prioritize tasks and meet deadlines.
  • Proficiency in Microsoft Office Suite
  • Ability to work independently and as part of a team.
  • Ability to identify and mitigate project risks and issues.
  • Ability to maintain project documentation and track project progress.
  • Ability to adapt to changing priorities and deadlines.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Excellent interpersonal skills & strong attention to detail.
  • Effective time management and organizational skills.
  • Work independently as well as in a team environment.
  • Project Management methodologies and tools preferred, not required (Agile, Waterfall, ext.)
