Job description

Job Summary:
The IL Coordinator is responsible for monitoring and coordinating international cargo shipments. This role focuses on freight visibility, system monitoring, and freight quote review and approval for international shipments, Drayage.

Key Responsibilities:

  • Monitor inbound cargo movements from Asia using the freight management system
  • Track container status, vessel schedules, ETAs, and shipment milestones
  • Review, validate, and approve freight quotations and payments in line with internal guidelines
  • Ensure freight charges and shipment details are accurately recorded in the system
  • Coordinate with freight forwarders and shipping lines regarding shipment progress and exceptions
  • Identify and escalate delays, rollovers, or cost discrepancies to management
  • Maintain accurate inbound shipment and freight records
  • Monitoring and controlling door to door lead time
  • Provide regular shipment status updates to internal teams
  • Support inbound logistics reporting and cost visibility
  • Coordinate with warehouse and internal teams, Purchasing and sales for inbound planning
  • Prepare daily, weekly, biweekly and monthly freight, shipment, cargo related reports
  • Prepare, review, and maintain import documentation including commercial invoices, packing lists, bills of lading, certificates of origin, and other required customs paperwork
  • Schedule and track inbound and outbound shipments via ocean, air, truck, and rail carriers.
  • Resolve freight claims, discrepancies, damages, or delivery issues

Vendor & Internal Communication

  • Serve as the primary point of contact for suppliers, freight forwarders, customs brokers, and carriers.
  • Communicate shipment timelines, issues, and resolutions to internal departments such as Purchasing, Finance, and Operations.
  • Maintain strong working relationships with external logistics partners.
