Job description

We are looking for an Events Coordinator to support the planning and delivery of meetings and public events at major venues in Reno, Nevada. This Long-term Contract position is ideal for someone who excels at client communication, event logistics, and on-site coordination in a fast-paced environment. The role focuses on guiding events from initial planning through final execution while ensuring a high standard of service for clients, vendors, and internal teams.


Responsibilities:

• Partner with clients to organize event details, timelines, and service needs for assigned programs and venue bookings.

• Work closely with operations personnel, contractors, and external partners to align all logistics required for successful event execution.

• Explain venue policies, contractual terms, and procedural expectations so clients can prepare effectively for their events.

• Track planning milestones and keep customers updated on submissions, room layouts, insurance documentation, and other key deadlines.

• Review account status before each event and follow up on pending balances or payment-related issues.

• Direct event support activities by assigning work to staff and coordinating resources needed before, during, and after each function.

• Oversee on-site event operations to help ensure smooth service delivery and prompt resolution of logistical issues.

• Manage post-event coordination tasks, including wrap-up communication and documentation after the event has concluded.

• Experience coordinating meetings, conferences, or live events from planning through completion.
• Strong ability to manage schedules, deadlines, and multiple event priorities at the same time.
• Background working with large-scale, corporate, sponsored, or public-facing events.
• Excellent customer service and communication skills when working with clients, vendors, and cross-functional teams.
