Description:

Under the general supervision of the Recreation Superintendent, the Special Events Coordinator supervises and coordinates all aspects of assigned special events for the City (i.e. Art City Days, Arts Festival, Holiday Festival, Movies & Concerts in the Park, and others). Assists other city departments with miscellaneous or spontaneous events as needed.

Duties:

  • Provides year-round support and continuity for community events (i.e. Art City Days, Holiday Festival).
  • Responsible for purchasing, sales, marketing, advertising, obtaining required permits and licenses, acquiring sponsors, and securing quality entertainment.
  • Acts as the liaison between event committees and the City; bidding services and coordinating with other divisions in Parks & Recreation department as well as other departments within the city as necessary.
  • Attends all event meetings and coordinates with all committee members.
  • Is the primary City point of contact for various events and celebrations.
  • Keeps and updates a central event calendar for the City.
  • Researches, coordinates, and secures bands and food vendors for concert series and other events.
  • Responsible for adding additional community and cultural events based on interests within the City.
  • Follows policies and procedures for obtaining, scheduling, and training event helpers (volunteers), entertainment, service providers, etc.
  • Conducts research and data gathering, including field research, as required for products, services, entertainment, or new event ideas.
  • Compiles proposals, reports, including annual special events division history of events for each year.
  • Keeps special events storage organized; maintains collection, maintenance and storage of city assets for events (i.e. stage, risers, sound systems, radios, etc.).
  • Provides support as directed for other divisions within Parks and Recreation or the City.

All other duties as assigned.

Qualifications:

Must be a high school graduate or equivalent. A bachelor's degree in Event Planning, Recreation Management or closely related field, plus two (2) years of practical experience managing events is preferred; or an equivalent combination of education and experience. Must possess a valid Utah driver's license and have an acceptable driving record. Must pass a background check and a drug test as a condition of employment.

KNOWLEDGE, SKILLS, AND ABILITIES

Must be self-motivated and capable of making corrections or improvements in personal performance with little or no input from supervisor. Must be capable of communicating effectively, both oral and in writing, with the public, contractors, event hosts, and other City employees and more. Must be able to plan, organize, and implement recreational and special event programs. Must possess knowledge of basic principles of event planning, marketing, evaluating, budgeting, sponsorship, and recruitment. Must have knowledge of event protocol. Must be able to perform bid screening for services rendered. Must have excellent organizational and public relation skills. Must be able to supervise and control large groups of spectators and program participants.

Physical Demands:

Must be able to lift 30 lbs. to 50 pounds. Able to stand, run, walk for extended periods. May be required to be outdoors for extended periods including during inclement weather.
