What does an events associate do?

An Events Associate helps plan, coordinate, and execute events such as conferences, meetings, and social gatherings. Their responsibilities typically include managing logistics, communicating with vendors and attendees, assisting with event setup and breakdown, and ensuring that all aspects of the event run smoothly. Events Associates often work closely with event managers and other team members to deliver a successful experience for guests and clients.

What are the key skills and qualifications needed to thrive as an events associate, and why are they important?

To thrive as an Events Associate, you need strong organizational skills, attention to detail, and experience in event planning, often supported by a degree in hospitality or a related field. Familiarity with event management software, budgeting tools, and standard office applications is typically required. Exceptional interpersonal skills, adaptability, and problem-solving abilities help you stand out when coordinating with vendors, clients, and team members. These skills ensure seamless event execution, client satisfaction, and the ability to handle unexpected challenges effectively.

How does an events associate typically collaborate with vendors and internal teams during the planning process?

As an Events Associate, you’ll frequently coordinate with both external vendors (such as caterers, venues, and audiovisual suppliers) and internal teams (like marketing, sales, and operations) to ensure all event details are aligned. This involves regular communication, managing timelines, and confirming deliverables to keep everyone on track. Strong organizational and interpersonal skills are essential, as you’ll be the link between multiple stakeholders, troubleshooting issues and adapting to last-minute changes. These collaborations help ensure events run smoothly and meet organizational objectives.

Job description

Own Alpaca's biggest moments from blank calendar to load-out. Festivals, grand openings, conferences, pop-ups, and yes, sometimes live alpacas.
ABOUT ALPACA HEALTH
Alpaca Health helps clinicians become entrepreneurs, starting in autism care. We give BCBAs the software, payer contracting, and back-office muscle to launch and scale their own practices, so power in healthcare shifts back to the people actually giving the care.
We have raised over $14M from investors like Core Innovation Capital, Adverb Ventures, and South Park Commons. We serve hundreds of families and are growing 30% month over month.
We also move fast. Last week we threw a festival for 600 people, planned in under two weeks, with real alpacas on site. That is the energy around here. If that sounds like your kind of chaos, keep reading.
THE ROLE
We are hiring an Events Associate to own Alpaca's marquee moments end to end. Community festivals, clinic grand openings, BCBA conferences, launch parties in brand new states: you plan them, run them, and make them unforgettable. This is a builder role for someone equally comfortable setting the creative vision and taping down extension cords the morning of.
For proof of the bar: we just produced a festival for 600 people in under two weeks, with real alpacas on site. We want someone who reads that and thinks "cute, I can do bigger." You will bring ideas nobody expects from a healthcare company (a pop-up that takes over a city block, a family carnival, a conference that actually feels fun) and then make them real, on time and on budget.
WHAT YOU'LL DO
Own events end to end
  • Concept, budget, vendors, logistics, run of show, staffing, day-of execution, and load-out
  • Signature events (yes, Alpaca Fest), clinic grand openings, conferences, launches, and community gatherings
  • Own the timeline and the money, and keep both under control even when we move fast

Design events people actually remember
  • Bring big creative ideas to every event and sweat the details that make them land, the ones guests notice and the ones they only feel
  • Build events that are genuinely inclusive and sensory-friendly, made with our families in mind

Make every event a marketing moment
  • Partner with brand and social on invites, content capture, and recap so each event lives online long after load-out
  • Land local press and turn a single day into lasting momentum

Build the machine
  • Turn every event into a repeatable playbook so each new-market launch gets easier and better
  • Track turnout, cost, leads, and referrals, and beat your last number every time

WHAT SUCCESS LOOKS LIKE
  • In 90 days: you have owned at least one event end to end, built our core event playbook, and set up the vendor lists, budget templates, and checklists that make the next one faster.
  • In a year: Alpaca has a signature annual moment people look forward to, a launch kit that any new market can run, and events that reliably drive measurable awareness and referrals.

WHO YOU ARE
  • You are a self-starter who does not wait for permission. You see the moment, you build the plan, you run it.
  • You have taste. Your events look and feel intentional, not generic, and you care how every touchpoint reads.
  • You are full of bold ideas and pragmatic enough to pull them off on a real budget and a tight deadline.
  • You are wildly organized, calm under pressure, and you genuinely love a countdown clock.
  • You have personally run real events, not just supported them, and can walk us through a plan and a budget from memory.
  • You are scrappy and resourceful, you get more done with less, and you never say "not my job" the morning of.
  • You care about our families and know how to make a space feel welcoming for kids who experience the world differently.

BONUS POINTS
  • You have pulled off something slightly insane on a tight timeline (and have the story to prove it)
  • Experience with brand or experiential events, not just corporate logistics
  • Comfort with content capture on site (you know a great moment when you see one and make sure it gets filmed)

WHY JOIN
  • Direct exposure to company building at an early stage
  • Real ownership of our marquee moments from day one
  • The chance to materially change life for families and clinicians
  • A learning curve few roles can match

Competitive salary
