Job Summary
Reporting to the Director of Communications and Marketing, the Administrative Assistant supports daily office operations and serves as a primary point of contact for the department. The position coordinates purchasing and budget processes, manages calendars and records, supports special projects and events, and provides administrative support for communications and marketing initiatives.
Job Duties
  • Respond to general phone, email, and in-person inquiries in a courteous, timely, and professional manner, directing requests as appropriate.
  • Assist with communications and marketing support for special projects and events.
  • Prepare purchase requisitions, invoices, travel authorizations, travel claims, and supply requests; track expenditures, report budget variances, and reconcile budgets and purchases monthly.
  • Track project deadlines, organize digital files, and maintain related documentation.
  • Oversee efficient day-to-day office operations within the Communications and Marketing Office, including staff calendar management.
  • Other duties as assigned by supervisor.

Minimum Qualifications
• Associate degree or higher from an accredited institution and one year of administrative assistant, clerical, or customer service experience in a business or higher education environment
OR
• High school diploma or equivalent and two years of administrative assistant, clerical, or customer service experience in a business or higher education environment
Preferred Qualifications
• Experience in a multi-office business or education environment
• Experience in graphic design, communications, journalism, marketing, or related field.
• Event planning experience to include logistics, services, and vendor contracts.
• Conversational proficiency or fluency in a second language.
Knowledge, Skills, and Abilities
• Technology Skills: MS Office Suite; video conferencing software; general operating systems and data information systems
• Attention to detail to ensure accuracy; good organization, time management and critical thinking skills.
• Demonstrated ability to work in a team-oriented environment; effective interpersonal communications.
• Capable of prioritizing responsibilities; managing time and workload to meet deadlines.
• Excellent written and oral communication skills.
